Is there a way to change a job to a new customer? [QuickBooks for Mac v. 2015]

Office user accidentally entered a new customer as a job under another customer 8 months ago and that new customer (job) has had many invoices and payments since. Is there an easy way to change that job to an actual separate customer? Or do we need to delete and re-enter everything correctly? Thanks for your help!

From the gear icon at the bottom left of the customer center put a check at "enable custom ordering". Select the job and drag it left and up. Payments will remain at what ever level they were received.

I use the latest version of quickbooks but on RightNetworks virtual desktop.  There is no gear icon shown in the lower left.

Hello there, Flynn.

 

In QuickBooks Desktop, you can only change the customer linked to a job. You'll want to create another job to link it to your customer.

 

Here's how:

  1. Click the Customers menu.
  2. Go to Customer Center.
  3. Click New Customer & Job, then choose Add Job.
  4. Fill in the necessary fields.
  5. Click the CUSTOMER drop-down, then choose the customer.
  6. Click OK.

I'm looking for an answer to the original question. In Quickbooks Desktop, I'd like to change all of my jobs into customers (so each can have it's own county tax code). How can that be done?

 

The reason I'm doing this is because currently I have several jobs in different counties. Manual changing of tax codes is a beast of a time-eater.

Glad to have you here, @me8!

 

You can remove the customer's name in your job's profile to change it. I'll be happy to help you accomplish this.

  1. Go to Customers.
  2. Select Customer Center.
  3. Find and double-click to open the job's profile.
  4. Remove the customer's name from the Customer field.
  5. Click OK.

Once done, your job's information will now be changed to a customer.

Thanks for sharing a screenshot of the error, ET0903.

 

It means that a payment was made directly to a parent customer account even if the invoice was made using a job.

 

You'll need to remove both invoice and payments from the job before moving it to the customer account. Here's how:

 

  1. Open the transaction.
  2. Go to the Customer:Job field and reassign it to the correct customer account.
  3. Do the same for the payment.

Once done, go back to the job profile and reassign or move it to the parent account.

I thought about doing it that way, but in order to move the payments I must determine when they were deposited and remove them, move them to the correct parent and redeposit them.  

 

The job/client problem happened after I did a rebuild ( I did a backup, but didn't notice the mix up until later).  It affected 2 clients and approximately 20 jobs that span over a 3-4 year period.

 

Is there a report that I can run that will help me locate when the deposits were made?  Are there other options?

We can pull up the Deposit Detail report to view when payments were deposited, ET0903 

 

Let me show you how:

  1. Go to the Reports menu. 
  2. Click Banking and select Deposit Detail
  3. Filter the report period and customize the report to get the information you need. 
  4. The Date column identifies when the amount was deposited. 

You can also export or print the report as your reference before moving them into another bank account.

I tried this and this is the error message i receive.

 

You have received payments for this job's invoices from customer XYZ.  As a result you cannot move or reparent this job to a different customer.

 

Any clues?

The message you're seeing means that a payment or payments have been made to a parent customer's account. This can occur even if the invoices were created using your job.

 

To bypass this, you'll need to remove the invoice and payments from your job.

 

Here's how:

  1. Open the transaction.
  2. In your Customer:Job drop-down list, specify the appropriate customer.
  3. Do the same for your associated payment records.

 

If you need to identify when deposits were made, you can run the Deposit Detail report to show when payments were deposited.
