Let me help you set up yearly service reminders in QuickBooks Online (QBO).

 

To begin with, may I know what yearly service reminders you want to set up? If you want to set up for your Contractor or Vendor, you can set up a yearly service reminder by creating a recurring transaction and selecting the Reminder option.

 

Here's how:

 

  1. Go to the Gear icon.
  2. Under Lists, choose Recurring Transactions.
  3. Click New.
  4. Select a Transaction Type, then click OK.
  5. For the Type drop-down menu, select Reminder.
  6. Under the Interval drop-down menu, choose Yearly.
  7. Fill in the Category and other details.
  8. Click Save template.

Is this also an option in Quickbooks Desktop Pro Plus 2023?  I do not see a Gear icon.

Yes, @EddieR, the ability to set up yearly reminders is also available in QuickBooks Desktop (QBDT). Let's go over some details to achieve the task.

 

You can create a memorized transaction by selecting the Add to Reminders List option and choosing Annually. Doing so will let QuickBooks memorize it so you get a reminder every time it's due. I'll guide you on how:
 

  1. Create a transaction type you need and open it. For example: Invoice
  2. From there, enter the necessary details.
  3. In the upper section, click Memorize.
  4. Enter a Name. Then, choose how you want QuickBooks to handle it.


     
  5. Once done, hit OK.

What if the amount owed varies each month like a utility bill?  You have memorized a specific amount in your example.

Allow me to guide you in memorizing a utility bill, @EddieR

 

For utility bills or other expenses with varying amounts each month, we can still use Memorized Transactions.

Here's how: 

Create a Memorized Transaction:

  1. Go to the Edit menu and select the type of transaction (ex: Check for utility bills).
  2. Leave the Amount field blank since the bill amount changes.
  3. Click Memorize and set up the details: 
    • How Often: Choose Monthly (since utility bills typically recur monthly).
    • Next Date: Set the next due date for the bill.
    • Remind Me: Select this option to add the transaction to your Reminders list.
  4. Save the memorized transaction.


Adjust the Amount Each Month:

  1. QuickBooks will remind you based on the frequency you set when the utility bill arrives.
  2. Open the Memorized Transaction from your reminders list.
  3. Enter the Actual Bill amount for that month.
  4. Complete the transaction.
