Is there a way to upload a contractor's W-9 to QuickBooks? I sent them a request to fill out the info online, but it went to an old e-mail and I can't resend the request.

Is there a way to upload a contractor's W-9 to QuickBooks? I sent them a request to fill out the info online, but it went to an old e-mail and I can't resend the request.

Currently, you're unable to upload a contractor's W-9 to QuickBooks Online (QBO), @dan102. However, you can send a reminder using their new email address. This way, you'll be able to complete their profile and make sure your account is ready during tax time.

 

The Form W-9 is a request for the TIN and certification of a U.S resident. To resend an email inviting them to fill out and submit their W-9 information, you'll have to first update their email address in the Vendors tab. This is to change the old email address and make sure the invitation will be sent to the right one.

  1. Go to the Expenses menu.
  2. Select the Vendors tab.
  3. Locate and choose the name of the contractor.
  4. In the Vendor Details tab, click Edit.
  5. Update the email address in the Email field.
  6. Click Save.

 

After updating, go to the Contractors tab from the Payroll/Workers menu. In the said page, please make sure to refresh the system by pressing the F5 key. This is to ensure the reminder will be using the correct email address.

  1. Go to the Payroll/Workers menu.
  2. Select the Contractors tab.
  3. Locate and choose the name of the contractor.
  4. Click the Send a reminder hyperlink above.

 

The contractor will either log in with an existing Intuit account or create a free one to securely share their tax info. Once they submit their W-9, you can view and download the form in the Documents tab in the Payroll menu.

 

Additionally, you can also scan a contractor's W-9 in QuickBooks. Just go to their profile and save the file through the Attachments feature. Please note that this process will not fill out your contractor's details. This is just for your reference.

 

With the complete W-9 information of your contractors, you can easily file your federal 1099s with QBO during tax season.
