Job Probability Report

I have a been receiving PO's without a bill and when I do this the cost is not coming through on my job probability report.  Can some help me figure out why.  When I enter bills directly they show up but when I receive item without bill on PO they don't process through.  We use Bill.com to process payments and bills.

In order to have an expense show up on a financial report, it has to be a posting expense.  A Purchase Order isn't posting and doesn't count.

What do you mean when you write, "I receive item without bill"?

Job Probability Report

Hi @ahemric,

I'll answer your query about POs and why they don't appear in your Job Profitability report.

Purchase orders are non-posting transactions, which is why they don't show up on the Job Profitability report. You'll have to convert it to a bill so the transaction will become posting.

Here's how:

  1. Go to the Receive Inventory drop-down menu.
  2. Select Receive Inventory with Bill.
  3. On the Enter Bills window:
    • Pick the correct vendor name from the drop-down menu.
    • Select Yes to receive a purchase order for the bill.
    • Choose the correct PO, then select OK.
    • Review the information on the bill.
    • Select Save & Close.
  4. When you're ready to pay the bill, you can proceed and use Online Bill Pay.

I suggest you open this article: Accounts Payable workflows in QuickBooks Desktop. It lists 2 different workflows available in QBDT, which is paying bills with and without purchase orders.

Let me know if there's anything else I can assist you with by dropping a post below. I'll be sure to get back to you.
