You may or may not send them physical copies of their form W-9. This Form W-9 should be kept by the individual who files the information return.
You’ll need it at the end of the year when you fill out the form 1099 for independent contractors and vendors.
See this invite a contractor to add their own 1099 tax info article for more information about this.
I’m always here if you still need help in preparing your forms. Take care and have a wonderful day!
Thank you very much for replying, @MJoy_D!
I just realized that I didn't finish the thought in my question—I meant to ask about the need to mail the physical copies of 1099-MISC forms, not W-9s. Sorry about that!
I appreciate you following up and providing clarification, @maciej_.
The 1099-MISC filing may vary depending on the state. To ensure if you need to mail a physical copy, I'd suggest checking with your state agency for the filing requirements.
You can check the following articles for more details:

I'm just a quick post away if I can be of additional help or if you have other questions. Have a nice day!
Thank you, @IntuitLily! I'm in Illinois, so it looks like I'm not required to send 1099-MISC to the IRS. I'm just trying to figure out if giving contractors access via QuickBooks online to their 1099s will suffice (I try to go paperless as much as possible).
Thanks again!
