Pay checks were incorrectly posted to the wrong checking account in Quickbooks but were correctly withdrawn from the right account.

How do I get reports to show me I paid payroll for the pay period. How do I get the pay checks listed under the right account for accurate records. Help told me to void the checks in the wrong account but how do I get the checks into the right account so reports will display properly.

You have me to help you correct the checking account, JoiningHands.

 

We can go to your payroll settings to fix this issue. Let me guide you on how to do it:

 

  1. From the Gear icon, select Payroll settings.
  2. Under Preferences, click the Accounting hyperlink.
  3. In the Bank Account section, select the correct checking account.
  4. Click OK, and then OK.

 

Afterward, we’ll have to create a Journal Entry. This way, we can move the paychecks to the correct account without voiding the checks.

 

Just a heads up, I’d still recommend reaching out to your accountant on what specific accounts to use when recording the transactions. 

 

You can create a Journal Entry by clicking the + New tab, and then selecting Journal Entry. Then, under the Journal date field, enter the paycheck date.

 

Also, to show payroll you’ve paid for a certain pay period, we can run the Paycheck List report. Then, filter the date range.

 

  1. Click the Reports tab.
  2. Enter and select Paycheck List.
  3. Select the Date Range and also the Employee.
  4. Click Run report.

Too late.  Checks were voided so now what?

Pay checks were incorrectly posted to the wrong checking account in Quickbooks but were correctly withdrawn from the right account.

Too late. I voided the checks so the account balances were correct not thinking about moving the checks over first.  Managed to get the correct checking to reconcile correctly as far as balance goes but there's no record of payroll being paid for the pay period. So how do I get that corrected without running payroll again which I know I can't.  Sigh!  I think I royally screwed everything up.  :-(

Hello there, JoiningHands.

 

Based on the details on your post, you have voided the payroll checks in QuickBooks because they were printed to the different bank account. Good thing you have reconciled the bank account for payroll to ensure that everything is still balanced.


Here's the process that we can do to correct the data. 

  1. Change the payroll setting company bank account to the account used when paychecks were printed. You can follow the steps provided by my colleague Adrian_A
  2. Recreate the payroll checks.
  3. Go back to payroll settings to toggle back the bank account to your correct company payroll account.

Note that you don't need to reprint the paychecks. This is just for recording purposes that they were created under a different bank account.

 

Let me show you how to recreate the paychecks: 

 

  1. Go to the Payroll or Workers menu and select Employees.
  2. At the upper-right, click Run payroll.
  3. Click the correct account under the Pay from the drop-down and the Pay period. Then, the same pay date.
  4. Select only the affected employee. Then, click Preview payroll
  5. Review the account, pay period, and amounts before you proceed in clicking Submit payroll.
  6. Click Finish Payroll.
