Preventing a new class from being created with a journal entry upload

We use QuickBooks Desktop and upload journal entries using Business Importer.  Just recently, a new accountant incorrectly entered the name of a class and when we did the upload, QuickBooks just created a new class with absolutely no validation.  This had a lot of downstream effects on reports and resulted in some incorrect calculations for bonuses.  From a basic accounting perspective, this seems like a severe oversight in accounting controls on QB's part.  Does anyone know if there is a feature to prevent this from happening?  I spent far too much time trying to trace down the problem and was frustrated that it even happened in the first place.

I'll help clear things up about the import process of journal entries (JE) in QuickBooks Desktop (QBDT), @LaresaMac.

 

Since you're using a third-party app to import these JEs, QBDT will accept them as is. A feature to detect any issues on the accounts used is unavailable. What I can suggest is to double-check these JEs you want to import before proceeding. This way, you can avoid issues after the upload process. 

 

Another option to import JEs from your accountant is the built-in feature in QBDT. The type of file you can upload is a QBJ file. Follow the steps below to proceed:

 

  1. Open your company file in QBDT. 
  2. Go to the File menu, highlight Utilities, then select Import.
  3. Choose General Journal Entries.
  4. Locate the file you want to upload. 
  5. You'll see on the Add General Journal Entries window all the JEs from your accountant. You can uncheck entries you don't want to add to your books. 
  6. Hit Add GJEs, then press OK.

So does an import using the QBJ file validate class or does it also have that deficiency and will create a new class?  Changing the method if it doesn't fix the problem isn't a solution.

Thanks for reaching back out and asking for clarification on your issue. Allow me to give you some info. 

 

QuickBooks will not add a new class unless it's wrote or typed differently. This should validate your class and not add a new one. You can always test it out with one journal entry and see if you like the way it's done.
