Products not completely coming out of inventory when invoice is created. I sold 200 items and only 172 came out of inventory in QBO!!

I created an invoice with products one item had 200 items and when I go to the inventory there were only 172 items taken out.  How does this get fixed why did this happen?  This is happening on multiple items randomly!

I have printed the inventory item and highlighted the example explained.

This happens when you record sales transactions for an inventory that has not enough quantity on hand. You'll want to make sure to record all purchases for restocking so that your inventory in QuickBooks Online will be updated. You can simply create a bill if you’ll pay your vendor at a later time or create a check or an expense from the purchase order if you paid your vendor on the spot.

This does not happen all of the time!  It is random  No one can explain it or fix it QB is a joke any more we the users find problems and all QB does is brush thing off make work arounds instead of fixing a product that we pay over $2100 a year for.  There is NO REASON it is not taking the product out of inventory period weather or not the inventory is there to be taken from.  IT is completely random as to when it chooses how much to remove from inventory.  THIS NEEDS TO BE FIGURED OUT.

I can see the importance of properly tracking your inventory in QuickBooks. 

 

If you've already checked your quantity on hand and still getting a similar result, let's run some basic troubleshooting steps. 

 

There might be too much cache accumulated in your current browser. This can be the reason why your inventory doesn't match on your reports. 

To check, open your account in a private window. This doesn't your browser's history and will help us isolate the issue. Simply press the following shortcut keys to open it:

 

  •  Ctrl + Shift + N (Google Chrome).
  • Ctrl + Shift + P (Firefox).
  • Control + Option + P (Safari).


Once done, check again your quantity on hand and see if it matches your reports. If yes, go back to your regular browser and clear its cache. If the problem still exists, use another supported browser

 

If the issue persists, contact our QBO Support Team. This way, they can check your account to trace the issue and fix it. 

 

Additionally, there are several financial reports you can run to track your sales income in QuickBooks. They will show you helpful insights on the things you buy and sell, and the status of your inventory.

Products not completely coming out of inventory when invoice is created. I sold 200 items and only 172 came out of inventory in QBO!!

The problem is when I created an invoice only part of the inventory item was taken out.  I sold 30 items and only 10 were removed from inventory.  The very next invoice the same day same item sold 15 and 15 were removed from inventory.  NONE of the videos say anything about this!  It is random someone needs to fix this sending me videos is doing nothing because it does not pertain to this situation.

I know how you want your inventory to perfectly work for your business. Generally, products marked as inventory are those products you want to track the quantities when bought and sold. While those marked as non-inventory are those products that aren't tracked. This means that when a product is invoiced and sold or added to the inventory, the product quantity doesn't change. You'll want to make sure that the items were tracked as inventory to make sure every detail of an item is taken out

 

However, if they are already tracked correctly, and yet you're still experiencing some issues, I recommend reaching out to our support team so they can look at this further. They have the tools to pull up your account in a secure environment and investigate what's happening. Here's how to reach our phone support:

  1. Click the (?) Help icon and enter Talk to a human (then type it again when prompted).
  2. When asked by the bot, enter your concern
  3. Select I still need a human, then proceed with Contact us or Get help from a human.
  4. Choose either Chat or Callback.

I was on with support yesterday for 4 hours and the support was on with higher level through zoom and he said that I didn't enter my bill from the supplier correctly and that I did something wrong and closed the zoom call so don't know what support I should contact if the next level isn't going to actually do anything!

I am having a similar ssue, except nothing will come out of my inventory until an invoice is paid. This really sucks as most of my customers have 60 days. So my inventory is permanently screwed, and cant even be manually adjusted as then it will be off in the other direction when a bill is paid. IIts almost time to get rid of quickbooks. Its not worth the pain.

 

You still have not fixed the glitch that just blocks out being able to pay stat pay with payroll (but randomly happening to different employees, even though it worked before), forcing us to create a separate pay item for it. Bundles are stupid slow to edit, I have 1 gig service and am an IT guy, so its not internal or and isp problem that you blame everything on. None of your stupid attempts "fixes" has ever fixed anything because it is all on YOUR END!!!!

 

Quickbooks you need to just fix the problems, it has nothing to do with cookies, cache, user error, internet service, computer hardware, drivers etc. The problem is bugs in your software that need to be fixed. And fixed before you lose a lot of loyal customers.

Dear Greenriver1,

 

It appears QB wants to be absolutely sure we have the products in stock before it allows them go out to customers.

 

What I found to work on Quickbooks was to pay all your bills or indicate you will pay.

 

This you can achieve by creating a bill for all your purchase order, or adding more than one PO to a bill then pay on QB.

 

Steps:

1. Click on Menu(top left usually on QBO with a stand-alone +New button) 

2. Click on +New and under Vendor create a PO

3. Save and reopen PO, a little arrow on top right of PO indicates add to a bill. Just click add to bill.

4. If there is no previous bill, exit and head off to Menu again

5. Under vendor click on pay bills, scroll to bottom of page, there will be no bills but button to enter a new bill

6. Click on enter new bill, select your Vendors (PO) and add to bill.

7. Save and close, reopen and make payments (usually coming from funds already received) ensure on QB you have sufficient to clear the bills. 

8. Check your inventory, all your purchases should now be updated
