Purchase Order Report: Line Item Description Field Not An Option

We have a custom Purchase Order report to see open POs line by line, and a very important piece of this is that we need to see the PO Line description field. Within the field selection area for a custom PO report, there is no description option under the "line items" category. Although there is a description option under the Product/Service category, however this description comes directly from the preset description added to this Product/Service and does not mirror a manually typed in description from the PO.

For example: We have a Product/Service named "Tooling", whose preset description is empty. We have thousands of different types of tooling we purchase on POs, so at the time of creating the PO, we select the Product/Service named "Tooling" then type the specific type of tooling in that line's description. However, on the custom PO report we will only ever see the description as empty, since the only option is to show the description of that Product/Service and not what the description is for the actual PO line.

Prior to this week, the PO report brought in the actual PO line description used on the PO, and now pulls it from the description stored with the Product/Service. Please fix this!

Purchase Order Report: Line Item Description Field Not An Option

Let's see what we can do about this, Andrulis.

In QuickBooks Online, when making an open purchase order list report, there's no option to see the description you put in the memo/description column. However, when making an open purchase orders detail report, we can see the memo/description in your report. Here's how to do it:

  1. At the left navigation panel, select Reports.
  2. In the search bar, type Open Purchase Order Details.
  3. Click the small Gear icon beside the Export option.
  4. Select Show more, then tick the Memo/Description.
  5. Under Report period and Rows/columns, you can filter specific dates and kinds of groups.
  6. Click Run report and select the Save customization.

You can simply export your QuickBooks Online reports and lists.

Let me know if you have other concerns regarding the Purchase order. I'm always around to help. Stay safe!
