Qb online. Turning estimates into an invoice

I'm trying an online version and trying to take estimates and turn them into invoices like the desktop version.  I've watched the video but it doesn't work like the video.

Hi kfgross,

We have now automatically enabled this feature, so you won't see it in your settings.  To turn an estimate into an invoice, the estimate:

  • must be either Accepted or Pending, not closed status (look for the status on the upper left of the estimate)
  • must be saved (on lower right of the estimate)
  • must not have been fully invoiced already (see if any invoices have been created on the upper left of estimate)

Once these are true, then you'll see the "Create Invoice" option on the upper right.

Good news, performing this task in QuickBooks Online is easy. You can refer to the steps below for the process:

A. Enable the Copy estimates to invoices feature:

  1. Go to the Gear Icon from the top right corner of your screen and choose Account and Settings.
  2. Select the Advanced tab on the left navigation panel.
  3. In the Automation section, place a check mark in the box for Copy estimates to invoices option.
  4. Click Save when you're done.

B. Create an estimate:

  1. Click the Plus sign icon at the top of your screen.
  2. Choose Estimate on the drop down selection.
  3. Select a customer and fill out the applicable fields.
  4. Click Save and hit the Create invoice button at the top right corner beside the total amount.

I've attached some screenshots for you.

This will convert your estimates to invoices. Feel free to reach out to me if you need need anything else. I'd be more than happy to help.

Hi,  I no longer see the above option listed to be able to  "Copy Estimates to Invoices" in the Account Settings.  Has it been changed to a different place??  May I please have your assistance.  Thank you

Ideally, you should have this feature since there haven't been any updates that it got removed. I suggest contacting our QuickBooks Customer Care Team so they can walk your throughout the process of enabling this feature.

Hi, my admin doesn't see the option either to enable copy estimate to invoices. Can we double check that it hasn't been removed? Do any of the above options have to be enabled as well for that option to appear?

Is there a way to do this as a quote?  The method you described works mainly for people providing services.  I am a reseller, so there are two things that I would prefer to do differently (if possible)

1. Have "estimate" say "quote" (since estimate implies that I'm not giving an official quote)

2. Go from the estimate (quote) to create a vendor PO (rather than an invoice) since creating a vendor PO is where I start in the process.

Is this possible?  Thanks!

I hope your week has been good. I'm here help give you the support you're looking for.

 

In QuickBooks Online, you can customize your invoices to the preferred display you would like it to be. I'm going to provide steps below on how to customize your sales form.

 

How to convert an estimate to a quote

1. Select the Gear icon.

2. Click Custom Form Styles.

3. Pick through and look for the Estimate Template, then choose Edit.

4. Go to the Content tab, then click the Pencil icon in the first row of the template.

5. Under Form names, enter the desired name of the estimate.

6. Choose Done.

 

Also, once the customer approves the estimate you can copy it to your purchase order. I'm going to list some steps below on how to copy that estimate once they approve it.

 

Copy Estimate To A Purchase Order:

1. Select the Plus ⨁ icon.

2. Choose Estimates.

3. Enter the Customer and Product/Service details. Then click on Save. A drop-down choice of Copy To Invoice or Copy to Purchase Order will appear.

4. Go to Copy To Purchase Order.

5. Click on Save.

I know this is old, but is there a way to disabled this feature? With auto convert, I don't get the option for progressive invoicing.

In QuickBooks Online (QBO), there is a new feature where accepted estimates WITH DEPOSITS are automatically converted to an invoice. However, it didn't say that accepted estimates without deposits will also auto-convert to invoices. On the other hand, it's possible the progressive invoicing feature is not enabled. Here's how:

 

  1. Go to the Gear icon on the top menu.
  2. Select Account and settings.
  3. Click the Sales tab.
  4. In the Progress Invoicing section, tap Edit.
  5. Turn on the Create multiple partial invoices from a single estimate switch.
  6. In the Update your invoice template? window, select Update.
  7. Press Save, then Done.

Thank you for your reply, however it does me no good. Unfortunately, I'm one of the many users that have unknowingly switch back to the old experience. Since intuit hates their customers, they do not allow us to return to the new experience once we've left. 

 

While trying to find a way to turn off the automatic conversion, I changed a setting that sent me back to the old experience. Now I don't even want to use QB for invoicing or estimates because the old experience isn't user friendly and is missing all the features I used.

 

I've already contacted support, they've done the screen share thing, and confirmed that I cannot return to the new experience.

Thank you for sharing your experience with the Estimate experience. I understand that the new experience has some features that you can't use now and you shouldn't have been thrown back to the old interface.

 

I encourage you to send your feedback to our engineers. That way, they can gauge the number of users who like to use the new interface and consider making it permanent in the future.

Hi! I need to create an invoice from estimate, but using the line identified as quantity; not the due line; how i can change to be available for edit the quantity line in a partial invoice from estimate?
