Can a credit card account be updated in QBO with a new card number and still retain historical classification and attached receipts? I lost all history and attachments.

The bank replaced my business credit card with a new card due to fraudulent charges. When I followed the steps in QBO to deactivate the old account and add the new account, all historical transactions were re-synced. In the process, all historical transactions are now unclassified, and I have lost all attached receipts. What in the world can I do to not have to go through 557 transactions and reclassify and re-attach receipts?? Thank you for your help and insight.

Welcome aboard to the Community. Allow me to step in and provide additional assistance with your concern about the Banking feature in QuickBooks.

 

When you reconnect a bank account using the new account number, QuickBooks download the last 90 days of transactions. Other financial institutions can go back as far as 24 months.

 

What you see in the For Review tab is redownloaded data. These are pending bank transactions that require your approval to be added to the system.

 

Since they are categorized already, there's no need to override the banking. I recommend you exclude the expenses to avoid duplicates and help ensure books are accurate.

 

Here's how:

 

  1. On the left navigation bar, click Banking.
  2. Choose the account.
  3. Go to the For Review tab.
  4. Select the checkbox of the transactions to exclude.
  5. Hit Exclude

Thanks for coming here in the Community today, @leighann.raines. I'm here to share some insights about updating credit cards in QuickBooks Online. 

 

When you change your connected credit card details, you'll have to disconnect it to stop QBO from getting your transaction. 

 

However, you'll need to ensure to categorize your transactions in the For Review tab before disconnecting. This makes the old data remain in your Chart of Accounts. 

 

Here's how: 

 

  1. Go to the Banking tab on the left side. 
  2. Click For review button. 
  3. Add or Match the data and follow the on-screen instructions. 

 

Once done, all categorized transactions will be forwarded to the Categorized page and in your Register

 

Then, follow the complete steps in disconnecting or deleting accounts connected to online banking.

 

For your categorized transactions with attachments, I'd suggest you review them under the Categorized section. 

 

For future reference, visit this link to know about reconciling your transactions in QuickBooks Online.

Thank you for your response.  Unfortunately the first link you sent is no longer active.  

I followed the procedure outlined and all previous transactions were categorized prior to disconnecting.

As I pull up various older transactions, they are categorized in the system, they just show up as "For Review" uncategorized with no attachments in the "Banking" section.  Is there any way to override the banking so it doesn't look like they all need to be reviewed again?

Thank you for your response.  Unfortunately the first link you sent is no longer active.  

I followed the procedures outlined, and all previous transactions were already categorized prior to disconnecting.

@AlcaeusF Thank you so much for taking the time to read my question and provide such a detailed explanation of the steps to exclude transactions that came in redundantly due to the changed credit card number.  This is exactly what I needed.  Surprisingly, all transactions for the entire year were sent, but the method to exclude made it relatively easy to exclude all months previously recorded.

Como mencionó el representante anterior en el comentario anterior, si desea reemplazar los detalles de la tarjeta de crédito conectada en su cuenta QBO, primero deberá desconectarla para evitar que QuickBooks obtenga nuevas transacciones en sus fuentes bancarias. Hi there, @Juculina37. I've got your back, and I can guide you on how you can update your credit card here in QuickBooks Online (QBO).

 

As the previous representative mentioned in the comment above, if you want to replace the connected credit card details in your QBO account, you'll have to disconnect it first to stop QuickBooks from getting new transactions to your bank feeds.  In case you have transactions in your For Review tab, you'll have to categorize them before disconnecting the account. Bank transactions will then become old data and remain in your Chart of Accounts.

 

If you don't have any pending bank transactions, you can proceed to disconnect the bank account. To begin, here's how:

 

  1. Access your QuickBooks Online company.
  2. Go to Bookkeeping, select Transactions
  3. Select Banking (Take me there), and then click the tile for the bank account.
  4. Click the pencil icon, then select Edit account info.
  5. Select the Disconnect this account on save checkbox. A reminder, If QuickBooks is downloading new transactions, you won't see this option. Wait a few minutes for the update to finish and try again.
  6. Select Save and Close.

Also, if you want to update your billing subscription and payment information. You can achieve that by going to the Accounts and settings. I'll input the steps below:

 

  1. Access your QuickBooks Online company.
  2. Go to the Gear icon, and then select Subscriptions and billing.
  3. Select the Billing details tab.
  4. Select Edit billing information and update your payment info.
  5. This will launch the Wallet list, from this view you can:
  • Edit the payment method used for QuickBooks Online billing (expiration date, billing address, account holder name)
  • Add a new payment to be used for QuickBooks Online billing
  • Switch QuickBooks Online billing to previously stored payment method

       6. After saving your change, the payment method will be displayed on the Billing details tab.
