Can quickbooks online send an existing contractor that was manually added sign on credentials and the ability to upload their digital w-9?

I have hard copies of my contractor's w-9, but realized that quickbooks online can send them an email to digitally submit it. Can this be done with existing contractors already setup?

Let me guide you in handling your contractor's W-9 form. If you already have the W-9 hard copy of your existing contractors in your QuickBooks Online account, you can let your contractor submit their W-9 info. We'll email your contractor, inviting them to complete and submit their W-9 info.

 

You can deactivate the previous contractor if your contractor can't find the email to complete their W-9 info and set up a new one. However, doing this may affect transactions assigned to that contractor, and you'll need to modify them to transfer to the newly made contractor.

 

If you want to consider setting up a new contractor profile again, you can follow these steps:

 

  1. Go to Expenses, then select Contractors.
  2. Click Add a Contractor.
  3. Ensure that the checkbox to Email this contractor to complete their profile. They’ll get their own account to safely share their personal details is checked.
  4. Enter the Name and Email.
  5. Click Add Contractor.

 

Once your contractor finds the email and setup the account, their Form W-9 will be available in your QuickBooks Online contractor's documents.

So, I have an established contractor, there is no option to send the email in their profile an invite to fill out a w9 or change direct deposit information. Where do I find it?

Once you enter the vendor's name and email, QuickBooks will send an invitation to fill out a W-9 and provide their bank account information.

 

They can complete their profile and submit a signed W-9 online anytime. Once they finish, their information will saved on the contractor's and employer's accounts. You can visit this page for additional knowledge: Fill out a W-9 and view your 1099-MISC in QuickBooks Self-Employed.

 

However, if you want to add their bank account details yourself, please follow the steps below:

 

  1. Navigate to Payroll and choose the Contractors.
  2. Pick the existing contractor to add or edit bank info.
  3. Choose a Bank account.
  4. Enter the following: Account Number, Account Type, Routing Number, The account holder's Phone Number, Account holder's Full Name.
  5. Once done, press the Save button.
