Can't save final progress invoice in QBO

I've created an estimate and invoiced a portion of it. Now I need to bill the remaining amounts and add a few more line items. I've added the line items to the estimate but, when I create the invoice and try to save it, I get the following error message, "Looks like you created a progress invoice from the estimate you’ve copied. You may need to create a new estimate."

How do I resolve this issue? I don't want to create a duplicate estimate, because then QBO doesn't recognize how much of each line item has already been billed.

Can't save final progress invoice in QBO

Hello there, D_Weavers.

I appreciate you taking the time to reach out and for sharing your experience with us.

In the meantime, the suggested workaround is the following:

  • Open the Estimate and instead of converting it to an Invoice, maybe that estimate that you created mark as Closed.
  • Create the Invoice manually based on the info prefilled from the Estimate.

I've also added this resource to help you in converting an estimate into an invoice.

Can't save final progress invoice in QBO

Could we get some additional guidance on progress invoicing.  I have created and sent an invoice from an estimate.  I now need to invoice for more of this estimate but keep getting the same error-  "Looks like you created a progress invoice from the estimate you’ve copied. You may need to create a new estimate."

My estimate is in accepted status not closed.

It would be EXTREMELY HELPFUL if progress invoices showed the remaining balance like it does in the Estimate view after you've partially invoiced.

Errors can be challenging. Rest assured that I'm always ready to help you fix them for you to have progress invoicing, kbtx.

If you already performed by TirzahC and the same thing happens, we can disconnect a progress invoice from the original estimate. Just select the bin icon next to the estimate line item within the invoice. Then, QuickBooks will ask if you want to unlink the entire invoice. If you do, select Yes, and unlink it. Once done, connect an estimate to the new invoice again. Here's how:

  1. Click the New Plus icon.
  2. Choose Invoice.
  3. Select your customer from the dropdown menu. If the customer has an open estimate, QuickBooks will open the Add to Invoice sidebar.
  4. Find the estimate in the sidebar and tap Add.This image shows the invoice drawer that appears after you select a customer on an invoice form who has an open estimate. You can simply link the open estimate to the new invoice you're creating.
  5. Decide how much you want to invoice for, and select Copy to invoice.
  6. Fill out the rest of the invoice.
  7. Press Save and new or Save and close.

Your original estimate won’t change when you create a progress invoice. QuickBooks keeps a record of both. On the other hand, we can add estimate summaries to invoices so your customers can see their remaining balance. This is off by default. Here's an article you can refer to for more details about setting up and sending progress invoices in QuickBooks Online.

If the issue persists, we can sign in to QBO using a private or incognito window. This helps us confirm browser-related issues since this mode doesn't use the existing cache data. Here's how:

  • For Google Chrome browser: Ctrl + Shift + N
  • For Mozilla Firefox browser: Ctrl + Shift + P
  • For Safari browser: Command + Option + P

If it works, go back to your regular browser and clear the cache to delete those temporarily stored files and browsing history. Removing this should fix the issue since the overtime collection of data can create corruption. We can also use supported, up-to-date browsers to roll out the possibility of a browser-related issue.
