Can you close out old Purchase Orders (from 2015) that werent linked to an invoice. I want to get rid of Purchase Orders that show as open, but aren't truly open anymore.

Our old bookkeeper didn't utilize Quickbooks Online correctly and didn't link Bills to Purchase Orders. Therefore my reports show many Purchase Orders as open when they have already been paid. She also never closed the books so I am wondering if I close the books for say 2015, will it close all the open PO's up until the date the books are closed?

Great to have you here in the Community, @1txdoe. I’ll help you with closing purchase orders from prior years in QuickBooks Online (QBO).

 

Purchase orders are non-posting transactions, so moving them will have no effect on your financial reports. If they aren't received, you can either delete them from your record or immediately close the purchase orders.

 

  1. Pull up your purchase orders first.
  2. Select a transaction and click to open it.
  3. Click the Open drop-down arrow next to the Vendor name.
  4. Select Closed from the Purchase Order Status drop-down arrow.
  5. Click Save and close.

I am trying to do the same thing but the period that these POs are in was closed by the CPA that did the taxes. Is there a way to close or delete the open POs without the Password the CPA put in place to protect the prior year closing.

Happy to see you here in the Community, nancy93! You can, in fact, edit or change the password so you can deal with those transactions. Here's how:

 

  1. Sign in as admin. 
  2. Click the Gear icon and select Account and settings.
  3. From the Advanced tab, select the Accounting section.
  4. Under the Closing date field, choose either to close the books with a warning only or with a password too.
  5. To change the password, just enter a new password in the Password and Confirm Password fields.
  6. Tap Save and Done.
