Can you scan a receipt and add it to cost of goods sold account?

Hello there, Ray.

Allow me to clarify things for you. When snapping a receipt in QuickBooks Online (QBO) mobile application, you have the option to change the Expense category to Cost of Goods Sold (COGS) and select a Payment account to which the COGS is linked. Let me guide you on how:

  1. In your QBO mobile app, go to the Menu, then select Receipt snap.
  2. Locate and click the scanned receipt in the For Review section. If you want to snap a new one, click on the camera icon.
  3. On the Review receipt page, click on the Expense category.
  4. Select the category account you want.
  5. Choose the Payment account.
  6. Enter the necessary information.
  7. Once ready, click on Save.

what app are you using? I don't have that option to change the category. I would post a picture but it says I'm not signed in and can't add attachments , even though I'm signed in, much like most of Quickbooks it just doesn't work properly.

I have the option to enter the category or "add category. It's a required field. However, all of the dropdown options are expenses and none of my cogs options are there.

Hi there, ray. I have another set of suggestions to help you categorize your receipts smoothly.

My colleague @DHeraV and I replicated it using the QuickBooks Online mobile app, and we were able to choose the Cost of Goods Sold as its category. This account should be available as it is one of the default accounts added by QuickBooks.

If the said account isn't showing when you categorize the receipt, it's also possible that you're experiencing cache-related issues in your app.

We can perform some troubleshooting steps like refreshing the app's data to make sure the mobile app is working properly.

If you're using an iOS device:

  1. Go to Setting General iPhone Storage from your device's Settings.
  2. Choose the app that's taking up a lot of space.
  3. To free up the storage without deleting the documents and data for the app, select Offload App.

If you're on an Android device:

  1. Open the QuickBooks mobile app.
  2. Click on Menu ≡, then go to the settings ⚙︎ icon.
  3. Select Refresh Data, then hit Yes to confirm.

You can also use a laptop and log in using a supported browser to see if the account appears when you select the category for your receipts.

Additionally, you can check out this link to help you manage any receipts that will be added to your For Review tab: Categorize and match online bank transactions in QuickBooks Online.

Feel free to come back to this thread if you have other concerns about receipts. I'll be here to help. Keep safe!

This is still incorrect. There is no COGS default account available. We should be able to categorize receipts as any of the available COGS accounts. Only having expenses available hinders the experience dramatically. It makes ZERO sense that the phone app has such limited categorization options compared to a browser.

@Sean C1 @raybowman-brmchi

Why are you trying to assign COGS to a receipt?  COGS is generally not an account that should be posted to directly from a receipt.  COGS is used to expense inventory/cost or production after it has sold, not when purchased.  If you purchased inventory, you can assign it to inventory, otherwise, it can be assigned to a different expense account.

I work for a company that provides events as a service. There is no inventory, normally I am paying vendors for a service to help create the event I am producing. When we are creating an event, if there are costs that tie directly to that event, it is categorized as COGS and added to that "project" as opposed to an expense. Maybe this is the wrong way to be handling this, but it is how I was taught to categorize things. Not having the ability to tag receipts to vendor payments / additional spending on the event is a hindrance for people in the service industry.

I’m experiencing the same issue. Makes no sense to limit categories on mobile app. They should directly match what I have on my browser since I have custom categories setup already.
