Cash Reports

Has anyone figured out an easy way to get a report of everything that happens in the checking account by account number and check number? (We have QB Enterprise)

 

The check detail report is not helpful. In order to put it into a cash basis cash flow report, it has to be exported to Excel, and have a lot of manipulation done to put it into a proper format.

 

We don't want any cash account lines or accounts payable account lines showing on the report. Only expense accounts.

 

What we need is a report that shows these columns:

 

Trans Type
Check #/Trans #     

Date

Vendor Name
Expense Account
Amount

I tried Quickbooks Advanced Reporting for this also. After many hours experimenting and searching for the proper fields, I called support and found out that the destination/split field is not available to be chosen as a table field in QBAR. We'd really like to make this process more efficient for ourselves since it's a report that needs to be done monthly.

The Check Detail report shows the details of all checks that have been written by a bank account over a period of time.

 

It's possible that an Accounts Payable (A/P) account was selected as an expense when creating the check. This is the reason why it's showing when viewing the report. 

 

To check, you can open again the report and click the A/P account to view its transaction. You can create any necessary changes with it and choose the correct Expense account when creating the transaction. That way, it won't show up again when opening the report. 

 

Moreover, the destination/split field isn't available to be chosen as a table field in Quickbooks Advanced Reporting. I can see how this option would be helpful for you and your business. Therefore, let me take note of this as a suggestion to improve your QuickBooks experience.

 

You can also send feedback to our product developers. That way, they can review your request and most likely include it in our future updates. Here's how:

 

  1. Click the Help menu and select Send Feedback Online.

I understand why A/P shows up on the transaction reports.

 

I think you understand my problems with that. We want the other side of the transaction to show up...the destination account.

 

It's looking like QB won't solve this issue.

 

I was hoping someone had an app or report writer or something that provided a work around.

Thank you for you making a follow-up. I'd to clarify that this is not an issue, but a design.

 

I understand that you wanted to see the expense accounts. However, that's only possible if you do a direct expense posting into your checking account, and if there's no split.

 

Those expenses that are posted via bill will go through the A/P account first. Then, when a payment is made. The A/P account becomes the other side of the journal, opposite the checking account. Therefore, when you run a checking account report only the A/P shows up.

 

You can consider finding a third-party app that can generate a report, showing the expense accounts used in the connected transactions (specifically, on bills).

You can get a report of every transaction recorded in your checking account listing the detail account(s) and the other fields you specify.

 

However this isn't the same as what you appear to be asking for. For example, you say you don't want to see the A/P account, which leads me to believe you're recording bill payment checks. In this case, you can't see the original expense accounts from the bills, as they're not part of the bill payment check transaction. Similarly, the income accounts recorded on sales transactions aren't available for your deposit transactions. These payments and deposits are far removed from the original income and expenses, which are in no way related to your checking account.

 

To create the report, though, start with a custom transaction detail report. Filter it for the desired bank account and choose the option to show details as shown, and then add the Detail Level filter:

The resulting report will show the one or more detail rows for each transaction recorded in your bank account.
