Combined Balance Sheet - Limit to # of Companies?

Is there a limit to how many companies you can combine in the Combine Reports option in Quickbooks Desktop?

Combined Balance Sheet - Limit to # of Companies?

There's no limit to combining reports from multiple company files, kkeeling. Just ensure you follow the guidelines for smooth integration of the balance sheets.

Please keep the following in mind before merging reports:

  • To enhance the readability of combined reports, align the chart of accounts in the company files as closely as possible.
  • Accounts share the same name, type, and hierarchical level in each report. They're not case-sensitive.
  • Accounts that won't be merged are those positioned at different levels, dissimilar spellings, or diverse account numbers, and accounts that have or do not have an account number.
  • Accounts are categorized by type. Within each type, accounts are arranged based on the order of changes in the first company file, followed by accounts from other company files.
  • Log in to your files and enable multi-user mode.

I'm including this article to assist you with different methods to achieve your goal: Combine reports from multiple company files.

Combined Balance Sheet - Limit to # of Companies?

Thank you - I've been combining reports for years and starting on October 1 when I try to run a combined balance sheet with 50 companies, I get an unrecoverable error.  I've lost count of the number of times I've tried it.  I ran it with just a portion of the companies today and it worked without issue.

Thanks for getting back with the Community, kkeeling. I appreciate your detailed information.

If you're still receiving an unrecoverable error when trying to combine reports, and you've already performed JamaicaA's recommended troubleshooting, I'd initially recommend troubleshooting with the Verify Data utility. This identifies known issues in company files and informs users if their Rebuild Data tool needs to be used afterwards.

Here's how it's used:

  1. Click Window, then Close All.
  2. In your top menu bar, go to File.
  3. Choose Utilities.
  4. Select Verify Data.

In the event its results show a "Your data has lost integrity," message, this indicates there's damage in your file. You can use the Rebuild Data utility to fix it. For specific errors, there may already be a resource for them on our support site.

If it displays a "QuickBooks detected no problems with your data," notification, or you've searched our help articles and didn't find any existing resources about the specific error it displayed, you can move on to troubleshooting with our QuickBooks Tool Hub.

Here's how:

  1. Close QuickBooks and download a copy of the utility's most recent version, then run it.
  2. Follow along with your on-screen steps to complete installation and agree with our terms and conditions.
  3. Once it's installed, double-click its icon to open the tool hub. If you can't find your app, perform a search in Windows for "QuickBooks Tool Hub" and select the program.
  4. Access your Company File Issues tab and use the Quick Fix my file and QuickBooks File Doctor tools to troubleshoot your company file. In the event you need additional assistance, choose File Dr Help.

In the event your unrecoverable error continues displaying after completing each troubleshooting process, you'll want to get in touch with our Customer Care team. They'll be able to pull up the account in a secure environment, conduct further research with you, and create an investigation ticket if necessary.

Please don't hesitate to send a reply if there's any additional questions. Have a wonderful Monday!

One or more company files are damaged. Run the Verify/Rebuild Data utility to make sure.
