Customizing Payroll Reports by Ohio school district

I am doing after the fact payroll in Desktop for Accountants 2021. I need to run a report that shows amounts withheld by each Ohio School District in a given period. The standard reports show all districts together as one tax labelled Ohio School District. When reporting and paying this tax, Ohio expects a district by district breakdown. Surely there is a way to extract this information in a report.

QuickBooks uses the same payroll item for Ohio School District, regardless of the name used in the Print on W-2 as field. This is the reason why it's adding all districts into one single line when running payroll reports.  

 

You can use the Local Tax Summary report. This will give you a list of all local taxes per employee. It also has a column for Print on W2 as so you can get a breakdown of how much was calculated per district. Here's how: 

 

  1. Go to the Payroll Center and proceed to the File Forms tab.
  2. Click the Local Tax Summary under the Reports section. 
  3. Look for the Enable Content button when prompted to enable macros. 
  4. Select a report period date and choose Create Report

In QuickBooks Desktop, we can customize the report that create a detailed custom report that lists each individual payroll item, the rate for each payroll item, and the total amount that has been paid to that payroll item (Ohio School District). Let me show you how: 

  1. Go to the Reports menu, then select Custom Reports.
  2. Choose Transaction Detail.
  3. Go to the Display tab and in the Columns section, deselect everything except Payroll Item, QtySales Price, and Amount.
  4. Go to the Filters tab, then choose the filter for Account then from the drop-down, select the appropriate Payroll Expense Account/s. Choose Transaction Type then from the drop-down, choose Paycheck.
  5. Press OK.
  6. Enter the date range in the From and To fields.
  7. Tap Refresh.

This report did not return results because instruction said to filter Accounts by Payroll Expenses. Ohio School District Withholding is not an expense. I substituted Payroll Liabilities instead, and the report returned amounts but no Quantity or Sales Price. And still no distinction between the individual districts, which is the desired output. When setting up an employee for this withholding, there is a Y/N for OH School District; if Yes, then you enter the "as printed on W2" which specifies which district, and the tax rate is entered also. I see this is referred to as a secondary local tax. Again, I am posting paychecks manually (after-the-fact) and I am filing taxes manually. Not using a payroll subscription.

Hello, Yogi. 

 

I'll make sure you're able to generate a transactions details report showing the Payroll Item, Qty, and Sales Price, in QuickBooks Desktop. 

 

I was able to replicate the report from my test account and view the Payroll Item, Qty, and Sales Price on the said report.(see the image below). 

 

 

 

We just have to ensure we modify the Display tab and in the Columns section to view the specific column we want to show on the report.

This still does not accomplish identifying amount from each paycheck by the Ohio School District "as printed on W2".

Customizing Payroll Reports by Ohio school district

Ohio School District withholding is a payroll item. When setting up an Ohio employee, QuickBooks asks if he is liable for this tax. If I mark yes, I then must record the district (as it shows on W2) and also the tax rate for that particular district. The input screen identifies this tax as a secondary local tax. The details that I input calculate withholdings correctly, but I can't see how to show them in a report. All the reports I have tried will only show the payroll item "Ohio School District Withholding" and not include the underlying breakdown by the district.

We are new to online version. I can see the School District tax totals but when we go to Pay Liabilities the School District tax isn't there to pay. Any suggestions on why this is happening?
