Estimates/Quotes in QB's Pro 2016, having trouble with adding columns....

I am using QB's Pro 2016. In Estimates/Quotes I'm trying to add a column for the ship date, and include a calendar where I can just click the date my product will ship to my customer. Does anyone know how to do that?

Think of that entire Estimate as the Worksheet. Things as Rows won't have individual Delivery dates.

 

This is the workflow concept:

The Estimate is the Scope of Work for Price. It isn't Fulfillment. If you need fulfillment, then instead of Pro, you get Premier. You need to do this, anyway, since QB 2016 reaches end of life in May 2019. So, move this file to Premier, and install it as Retail, or Wholesale/Manufacturing.

 

Now you have the missing tool you do not have in Pro = Sales Orders.

 

You make the Estimate, we agree to the scope and price. You "make an SO" for each Fulfillment and date, "from" the Estimate. That also provides for Backorder tracking, and if you manage much inventory items, this is also part of the Inventory reporting for demands on goods and services.

Allow me to take over and help you add a column in the estimate for the ship date in QuickBooks Desktop Pro.

 

You can customize and add a column that displays on the estimate.

 

Here's how:

  1. In the estimate screenshot, go to the Formatting tab.
  2. Click the Customize Data Layout.
  3. Go to the Columns tab.
  4. Select Other 1 and rename it to Ship Date. Make sure the Screen and Print option is selected.
  5. Hit OK.

Regarding the option to have a calendar included in the column, that feature isn't currently offered in QuickBooks Desktop. I can definitely see how this feature would be useful. As a team with a massive road-map, we have to pick new features based on the value they’ll add to the most users possible. I recommend sending this request straight to our product engineers through feedback.

 

To send feedback:

  1. Click Help at the top.
  2. Select Send Feedback Online.
  3. Then Product Suggestion.

Thank you for your quick reply! And for the heads up on Pro 2016 end of life info, I was unaware.

Our inventory litterally includes thousands of parts. Not all parts are stock items and some take several weeks before they reach us. So in our quote, we give our customers the most accurate date they could expect to receive every part they order from us. This is where the calendar comes into play in the "ship date" column. If I understand you correctly, we would have that option in QB's Premier.  We could then create the invoce from the quote and if needed, add/or adjust line items.  

That is the goal.

Thank you for your reply! I was able to do include the column without issue, just wanted to be able to add the date per line in the ship to column.

 

Would you agree that  QB's Premier is the way to go moving forward?

I'm glad to hear that you're able to include your desired column using the steps provided by my colleague, RoseMarjorieA.

 

On the other note, being able to include a calendar option is not yet available in QuickBooks Desktop Premier as well. If this would be your reason for moving to QuickBooks Desktop Premier, this may not be an option for you.

 

While the said feature isn't available, I'd appreciate if you'd let our Product Development Team know about this option by sending feedback. The steps are already provided above by my colleague. I'll make sure to do the same thing on my end.

Thank you for your response! I did send feedback, it would be so helpful to us. 

 

Also, we will be updating our QB's, if the Premier does not accomadate the "Ship Date" option, does it make more sense to stick with the most current version of QB's Pro?

I'm not sure what more Premier has to offer...but I guess I'll be looking into it!

You are missing Fulfillment Tools. That is significant to your type of operation.

Please Learn from the input here.

 

What got added to the template is a Notational field. You can put any alpha-numeric text there, such as "3 apples." it's not Ship date; it is Note and very limited. It is not part of the relational database and will not show in Reporting for fulfillment and order management.

 

Please see my attachment for the Fulfillment Worksheet you do not have in Pro.

You can list Noninventory items in Sales Orders, for tracking DropShip. It isn't only Inventory management; I pointed out it is Demand on Goods and Services. Service items, Noninventory, inventory and even Other Charge Items can be managed like this.

 

For this: "We could then create the invoce from the quote and if needed, add/or adjust line items."

 

You use the Fulfillment Tools, for pick list, packing slips, backorder management, etc. Please see my attachment.

Again, thank you for your reply! I agree that Premier would be our best bet, it makes sense to me. 

I especially like that the quote becomes the SO, Packing List and Invoice. The Fulfillment tools will make all the difference.

Make sure to select Industry Edition when you install Premier, as either Retail, or Wholesale/Manufacturing. That's what activates these specific tools for you.

Hello, 

I have installed QB's Premier 2019 for Retail. I have some questions:

I would like to create a customer quote that will include the lead time. If my customer orders 100 of part X and I have 75 in stock,  I want to let them know I have 75 in stock and the lead time on the other 25 pieces will be 2 weeks. Do I need to enter part X on two lines indicating stock of 75 on one line and the lead time on the other? 

 

I want to then carry the same info over to the sales order but so far I am not seeing a way to enter a backordered item. What am I missing?

You can enter the lead time on a different field in the quote, srmoon.

 

In QuickBooks, the details you can enter on the line items of an Estimate/Quote are those that will be purchased by the customer. You can tell your customers about the lead time of the remaining items on the Description section. Just enter the details of the 25 pieces of the items which will be in stock in two weeks so your customers are aware.

 

On the other hand, backordered items will only reflect if you convert the estimate/quote into an invoice. These items will not be displayed on sales orders.
