FAMLI Report for Colorado NOT there in Quickbooks!!

This is so surprising, there's no way to download an xml or csv report from Quickbooks and upload it to Colorado website for FAMLI act. Talked to Qbooks and they acknowledged they DON'T have it. If I have to manually enter 400 employees in FAMLI website not sure what use Quickbooks payroll is.

Not only is there not a generation of the CSV or XML file to upload, there is no liability payment shown to pay  in the "Pay Taxes & Other Liabilities".  e.g. like you would see for Colorado wage or unemployment reporting.

 

And, while we are on this subject, did you know that the FTP file that QBD payroll generates is incorrect? One has to fix the year and quarter reporting in the right hand most field in order for the file to be compliant with Colorado filing requirements. I spoke with QB payroll support a couple of years ago and they said this might get fixed but that was in 2020.

 

Come on Quickbooks, you seem to have no problem rapidly increasing your cost for QB Payroll but don't seem to be actually addressing the problems your customers have using it.

This likely means a payment schedule has not been set up.  You can set up a schedule for any tax or deduction, built in or custom.  Do it using the button just below the table of liabilities to pay.

I've never heard of a feature that generates an "FTP file". FTP is short for "File Transport Protocol" - a communication standard used to send files, much like a browser uses HTTP.

 

How are you creating this file for Colorado within QuickBooks? Perhaps there's an update to the feature you're using...

The file format looks doable, though there appear to be quite a few data fields that aren't tracked in QuickBooks, which would probably need to be captured in some sort of interview.

 

Questions:

- Are there built-in items in QuickBooks for the FAMLI?  Or, do you have to set the items up manually as custom taxes?

- Are both employee and employer amounts tracked on the paychecks you create in QuickBooks?

This has been a challenge from the beginning.  I set mine up well before the deadline.  Then I got an email from Quickbooks telling me that I had not set it up, that I couldn't run payroll until I did and by the way, since it was my fault they were going to deduct all of it from me rather than doing payroll deductions from my employees.  Then after multiple help sessions they admitted that it was their fault due to a "glitch" and it was now fixed.  I followed up a week later and they assured me that it was setup correctly and that the state report and payment would be accomplished on time.  It is now 2 May after the 30 April deadline and nothing has happened yet.   Every time I have gotten assistance, the person is clueless about this program and we have to start all over again.  I understand that this is a Colorado specific program that they have get their heads around but they need to assign a team dedicated to this problem and not expect their average chat person to know all of the details.

The payroll items are built-in to QB: CO - Paid Fam Med Leave Co. and CO - Paid Fam Med Leave Emp.  Both are tracked on each paycheck.  Note: the tax rate is entered within each employee's payroll set up window, rather than the rate entered globally during payroll item set up.  

 

Intuit did create a form/worksheet under Process Payroll Forms/File Forms: PFML - Paid Family and Medical Leave Reporting Worksheet.  While it does summarize the relevant data, Colorado will not accept this report (in fact, the heading on the report says it is for information purposes only).

I have complained to QB also, about the ftp SUTA upload as well, with no results.  As you noted, it's been wrong for years!

The report for the 2nd quarter is not populating; it is not filling in SSN for employees NOR is it populating amounts. I have to pull a payroll summary and use data from the unemployment report for Colorado to get the data. 

The report from QB also says "Connecticut" and not "Colorado" and does not have the form set up to populate quarterly (as I have it set up in payroll due dates). This needs to be corrected so we can pull correct reports for entry.

I appreciate you for joining this thread and providing enough details of your concern, HollWhiteJenks.

 

It's a good start getting the latest tax table update. Then, it could be that the employee's profile was set to Connecticut instead of Colorado in the initial setup. We can work together by reviewing the setup and changing some information (if needed) to get accurate data in the report for 2nd quarter.

 

Here's how you could do it:

 

  1. Go to the Employees menu and select  Payroll Center.
  2. In the Employees tab, double-click the employee's name.
  3. Pick the Payroll Info section and select Taxes.
  4. Review the state. Make sure it is set to CO (Colorado).
  5. Hit OK.

 

Afterward, you'll need to adjust your payroll liabilities to move the correct amount to the appropriate state. The steps below will walk you through the complete steps.

 

  1. Go back to the Employees menu.
  2. Under Payroll Taxes and Liabilities, choose Adjust  Payroll Liabilities.
  3. Select Connecticut under the Item Name field and add a negative (-) amount. In the next line item, add Colorado and amount.

All employees are set in Colorado since all other Colorado forms populate correctly (CO UI and CO Withholding, which are set as state forms). When adding FAMLI to an employees' profile, it is not under "State" section as with withholding and unemployment (where it honestly should be). We have to add it to the "Other" tab and select from the dropdown menu of Payroll Item List with the QB created "CO - Paid Fam Med Leave" AND also have to populate the rate correctly as it shows .9% in the payroll item list and DOES NOT populate when you select it from the dropdown menu. 


The other issue is I am getting an error message on the form stating the through date needs to be entered correctly and it absolutely is. 

 

You all need to trouble shoot this and get it corrected so we can pull the corrected forms for entry.

I want to make sure the contribution rate for Colorado Family and Medical Leave Insurance Program (FAMLI), and I'd like to redirect you to the best support group available to get this checked.

 

Since you have tried the steps in the section, Add Colorado FAMLI to your employees, and the total contribution rate for Colorado FAMLI correctly shows 90% in the payroll item list. However, the CO - Paid Fam Med Leave items aren't populated under the Item Name ▼dropdown.

 

I recommend contacting our Payroll Support Team. This way, they can verify this matter further and provide some troubleshooting steps to find the root cause of this issue.

  1. Open your QuickBooks.
  2. Go to the Help from the top menu bar, then choose QuickBooks Desktop Help.
  3. Click Contact Us.
  4. Enter a brief description of your issue, then select Continue.

Yes! I am having the same exact issue in addition when reporting the wages on the FAMLI portal they request the gross wages and adjusted wages. I pulled the report from 1st quarter and these wages are not separated out either.

The Colorado Reporting Worksheet in QB Desktop for Q2, is not the same as it was for Q1.  The report is not for Colorado, it is for Connecticut PFML.  It appears that there are 2 other Colorado Employers who are having the same issue.  I verified that all employees are Colorado Employees.  Is QB working to resolve this issue?

Thank you for the response, did you read the entire message?  This appears to be an issue for Colorado, Desktop users, two other users in this thread have the same issue.  I do not have time to contact support and instead I will get the necessary payroll information I need to file the quarterly report manually.  I am familiar with the set up of CO PFML, and as I mentioned in my previous message, the correct report WAS in QB for Q1.  It appears to have changed at some point to Connecticut.

You have to put the start date for the report as 01/01/2023 or it won't generate the report. The end date for the second quarter would be 06/30/2023. I guess it's because of YTD data, which isn't on the CO site anyway. And the CO site doesn't remember the employees from the last quarter so you get to enter them all over again. And the CO template provided is too complicated to figure out unless someone writes a program to grab the QB data in that format. And it won't be Intuit. All they care about is QBO.

You have to enter the first of the year as the start date, even when doing the second quarter. I guess because of YTD info. Don't expect Intuit to fix any of this. Their focus is strictly QBO.
