Good afternoon, expenses receipts using iphone Quickbooks app, 90% of them were paid using DEBIT CARD linked to business checking,

a new user here, i rarely pay expenses using CHECKS, so i use the Debit Card linked to the checking account. I added 100 receipts via the IOS Phone app and linked the Checking account to QB, i don't see the system ANY matching them. Also, when i Review each of the banks checking accounts transactions on QB, which method of payment should i select if i don't see Debit Card. read about adding EACH expense one by one, but how is this going to help me? And how to MATCH those added manually to the ones pulled by QB from the checking account. Thanks

Welcome and thanks for choosing QuickBooks Online as your accounting software, bestexas-icloud-. I'm here to lend a hand.

 

To confirm, is your debit card a sub-accounts in QBO? If it is, then you'll have to set it up in QB so that you can use Debit as your payment method for all transactions under that account. I'll guide you through the steps.

 

Here's how to create a sub-account:

 

  1. Go to the Settings icon and select Chart of Accounts.
  2. Select New.
  3. Select the account type and detail type. You can learn more about account types and detail types if you have questions.
  4. Select Is sub-account and then enter the parent account.
  5. Give your new subaccount a name. You can also add a description.
  6. Select an When do you want to start tracking your finances from this account in QuickBooks option Note: Only some account types need this, like bank, credit card, asset, and liability. If you need help, you can learn more about opening balances.
  7. Select Save and Close.

Good afternoon, thank you for your reply. 

90% of the individual expenses are done using “debit card” , Not all the expenses. So, how do I manage this? Some are “Checks” and some are “ACH withdrawals from vendors”. So, if I make a “sub account” as “Debit card”, then Do need to create another sub account “ACH” and another “Checks”? To have the total expenses ?

 

Another question would be, would QB match automatically the Expenses on the Linked bank account to the “tickets or receipts “ I scan ?

It's up to you if you want to add subaccounts from your Chart of Accounts. This will keep your chart of accounts organized by breaking down your expenses, income, and more into greater detail. You can follow the steps provided by GlinetteC on how to add these.

 

When creating an expense, you can always set the Payment account that you used. The account balance will automatically update after that. 

 

Yes, the receipt will match. If there isn't a matching transaction, create a brand new expense or bill from the image. QBO will automatically mark it as a match.
