How can I input a customer's credit card information into QB? We do not invoice through QB and only one client wishes to pay this way, any ideas? Thank you.

Adding your customers' credit card information is easy, @gsooffice.

 

You'll want to open your customer profile and add their credit card information from there. Before doing so, connect your payment account to your QuickBooks Online (QBO) account. This way, your customer can pay their invoice online. Let me guide you through the steps.

 

In your QBO account:

  1. Go to the Gear ⚙ icon.
  2. Select Account and Settings.
  3. Click the Payments tab.
  4. Choose either QuickBooks Payments or Existing account.
    • In the Existing account section, select Connect or Link Merchant Service.
    • In the window, select the QuickBooks Payment account you want to connect. Then select Connect.
  5. Review the account info and make sure it's accurate. If everything looks good, select Connect.
  6. When the connection is finished, sign out and sign back into QuickBooks Online for the changes to take effect.

Once done, you can now add your customers' credit card information to their profile. You can refer to these steps below.

  1. Go to the Sales menu.
  2. Click the Customers tab.
  3. Locate and select your customer.
  4. Click Edit.
  5. In your Customer profile select the Payments and billing tab.
  6. Select Credit Card from the Preferred payment method drop-down menu.
  7. Enter the needed information and click save when done.

How do you save the credit card info to a customer job?  There is no checkbox for the customer authorization.  It is only on the main Customer.  Our customers have different locations setup as jobs and each use a different credit card for payment.  We used to be able to store that info for each job but can no longer do that.

Based on the scenario, you’ll have to create a sub-customer for each location. This way, you’ll be able to add the credit card information associated with each one.


If you’ve already set up the main customer, I have the steps to help move forward saving the payment method. Let’s go to the Customers Center to set up the sub-customers and add the credit card information from there.

 

Here’s how:

 

  1. Tap the Sales menu on the left panel to choose Customers.
  2. When the Customers Center page opens, click the New customer button to display the Customer information page.
  3. From there, type in the job’s information in the field boxes.
  4. Mark the box for Is sub-customer and select the main customer in the Enter parent customer drop-down.
  5. Then, choose Bill with parent or Bill this customer.
  6. Under Payment and billing, click the Preferred payment method drop-down to choose a credit card.
  7. Next, fill in the remaining field boxes and click Save.
  8. Perform the same procedure to add the remaining locations.

In regard to storing the information, are you referring to the CVV? If yes, you’ll no longer be able to save it. This would violate the Payment Applications Best Practices guidelines for handling credit card information handed down by the Payment Card Industry (PCI) for software providers.

We already have the jobs setup.  Have been using them for years.  We used to be able to save the credit card information ie: card # and exp date for each sub or job.  But as of a few weeks ago we can no longer save that info to the job, only the main customer.  There is a check box that shows on the main customer when changing the credit card info that says the customer has allowed us to save that info.  There is no check box that shows for the jobs.   We need to be able to save different credit cards to different jobs.

Let me share some information about customer job in QuickBooks Online (QBO).

 

Customer job is called 'project' in QBO. You can only enter a name and description when creating it. However, you may use its description field or follow Rasa-LilaM's workaround to link and save the credit card info.

We do not use Quickbooks Online.  We are using QB Enterprise 2020.  We have used Jobs for 14 years and have been able to keep the customer's credit card information stored under the payment settings for each job.  A few weeks ago we noticed that when we updated the credit card info for a job, it would not save it.  It said we needed to check the box that says the customer authorized us to save it.  There is no check box on the job cards.  It is only on the main customer card. 

 

Intuit needs to add the checkbox for the customer authorization for the jobs.  Seems like a pretty easy fix.

You can collect fast and secure payments from your customers based on agreed-upon terms in QuickBooks. This means you'll need to gain the customer's approval to keep their credit card info stored. They'll need to sign the authorization form before you set up recurring payments. 

 

To get the authorization form, select the Authorization form link on the Create recurring payment page to download a PDF file that contains the terms of the recurring payments. You'll then want to send or give the form to your customer to complete and retain it for your records.

I'm not sure why you don't understand what is needed to do this.  We already have the authorization from the customer to save their credit card number in Quickbooks.  The issue is Quickbooks will NOT let you save that info in the JOB unless you check the box.  BUT THERE IS NOT A BOX TO CHECK!!!!!  The box is only on the main customer card not the job card.   This is a technical issue that needs to be fixed by Intuit.

 

Example:  Customer named ACME TOOLS HEADQUARTERS located at 123 Acoma St.  Pays with a VISA ending in 1234.  That credit card info is stored because there is a checkbox to check to allow it.  Under that customer are 2 Jobs.  ACME TOOLS in Denver  Pays with AMEX ending 4567  and a 2nd job called ACME TOOLS in Littleton pays with MasterCard ending 7890.   Each job uses a different credit card so each job needs to be able to store that info.

There’s no need to check a box, @Doreen-ABC.


Saving a credit card to each Job in QuickBooks Enterprise is located under Payment Settings. There are times odd behaviors occur while using or even after installing a new version of QuickBooks.

 

We can run the repair tool to get rid of this behavior. Before we proceed to the steps, let’s back up your company file first.


After, restart your computer to ensure there are no programs that may affect the repair. Then, follow these steps below:

 

  1. Open the Windows Start menu, then select Control Panel.
  2. Select Programs and Features then Uninstall a Program.
  3. Choose QuickBooks from the list of Programs, then Uninstall/Change.
  4. Hit Continue or Next.
  5. Click the Repair, then Next.
  6. Select Finish.


Once done, you can follow these steps to enter the credit information for each job. Here’s how:

 

  1. Go to the Customers menu, then Customer Center.
  2. Search the Job and select.
  3. Click the pencil icon in line with the Job Information.
  4. Select Payment Settings.
  5. Enter the credit card information in the field then hit OK to save.

You can also mark the box on the other side if you’d like them to pay you online.

yes, I usually process right from invoicing, it is usually linked. Its not working , the window will not open. this started right after a quickbooks update was requested. I need someone to troubleshoot what is going on, Please

I hope your day is going well. I’d be happy to help with troubleshooting your invoice payments process. To confirm, are you using QuickBooks Online? If so, the first thing I’d like you to try is opening your QBO in a private browser:

You can use the shortcut keys that I've listed below.    

 

  • Ctrl + Shift + P (Firefox)  
  • Command + Shift + N (Safari)  
  • Ctrl+ Shift + N (Google Chrome) 

 

If this fixes the issue, you may need to clear your cache, here’s how: Clear cache and cookies

 

If you are still having difficulty, try checking you see if your payments account is still connected: Connect payments account in QBO.
