How do I add many (>5) email addresses that receipts are forwarded from to QB online?

I have a case where receipts that are forwarded from users may come from one of several email addresses (e.g. xxx@xxxxxxx.xxx, xxx.xxxxx@xxxxxxx.xxx, xxxxxxxxxx@xxxxxxx.xxx) . It's the same person, but email address differs. I followed the help documentation, and it claims you can add email addresses directly, however if I follow the steps it tells me I can only forward emails from users and the user "They must be a Standard user, at minimum, with Vendors permissions." How do I resolve this in QBO?

How do I add many (>5) email addresses that receipts are forwarded from to QB online?

Hello there, @Anonymous.

I'd like to shed some light about emailing receipts to QuickBooks Online.

QuickBooks Online only allows you to utilize one email address for each user to send receipts and bills. In this case, I'd recommend using one email address at a time, or you may consider sending the receipts outside QuickBooks so you can add multiple email addresses.

You can also manually upload the receipts from your PC.

Here's how:

  1. Go to the Banking menu.
  2. Select the Receipts tab.
  3. Drag and drop the receipt or bill file directly into your QBO account. Or select browse to upload them.

To give you complete details on how emailing and uploading receipts work in QBO, please scan through these references:

Once done, you can now start categorizing your transaction accurately in the system.

If there's anything else that I can help you with, let me know in the comments. I'll be happy to help you with any QuickBooks-related things.

How do I add many (>5) email addresses that receipts are forwarded from to QB online?

Hi Betty,

There is a lot of copy & paste in your answer that doesn't have to do with my question, so this isn't exactly helpful. I am aware how to do this with users, however the number of users is limited. My business requirement is to do this with multiple email addresses for one user. Are you saying this is currently not supported by Intuit and I should look for another product if this is important for me?

@Anonymous

Consider having an additional app to have up to 5 users/email to send the receipts and integrate it with your QBO.

Thanks for the reply. What do you mean with "app" in this context? Application? If yes, what kind of application?

You sent me a URL shortened link without any explanation in the message. Definitely not comfortable clicking on that.

It is a bookkeeping app to integrate with QB Online and TurboTax. The link is secure and it is our affiliate link.

Did anyone receive a straight forward answer to this question?  I have this same requirement, can't be that uncommon almost everyone I know has multiple e-mail addresses nowadays running multiple different types of business needs. Why were the answers here so vague?  Why is Quickbooks support appear so shabby? This was a very simple question that should have been a simple answer. What is the solution?

Agree!  Disappointed to search and find no solution posted for this question.  All the more frustrating that it isn't just listed in QBO Help!?    Argggggg.   2nd thread I've checked with cut-and-paste responses of what had me roadblocked in the first place.

My client wants to set up an email strictly for receiving invoices from vendors and then emailing them into QBO receipts, which I encouraged.  There is no "user" (or it is but it's the same person within their company that is already a user) and we don't want to give that email any permissions other than submitting receipts into QBO docs. From what I could see in settings, that has to be an Admin user.   It used to be you just listed what email would be sending the receipts, what happened to that option!?   Nice that you can now add more than one email and edit the original quodocs.com email address though.  Props for that if I ever get the other issue resolved....  I see I'm posting a reply to a 5-month-old reply with no updates.  This is not a good outlook for finding a straight concise HOW TO accomplish what I'm looking for...    :'(

The person replying to your question seems to be googling the exact answers. Anyone can google or search on this site. They are also using terms that make NO sense.

What did you learn?

I think the person was saying app but they meant to say upgrade your account, which would be stupid but I think that is QB's way of controlling users. I don't see how that controls users if I have many email addresses and if I can only log in with one but send receipts from my personal and business, it won't affect anything.
