How do I create a billing statement for a specific project (not by customer)?

Hello there, @LexFab.

 

At this time, creating a statement for a specific project is unavailable. You'll want to set up the projects feature using invoice in QuickBooks (QBO). 

 

To get started, turn on the feature in the Account and Settings. Here's how:

  1. Go to the Gear icon and click Account and Settings.
  2. Proceed to the Advanced tab.
  3. Click the Pencil icon under the Projects section.
  4. Select the Organize all job-related activity in one place checkbox.
  5. Click Save, then click Done.

To set up the project, follow the steps in the Set up a project section of this article: Set up and Use Projects

 

Once done, you can add a project to a customer. Please follow the steps below.

  1. Go to Project, then click New project.
  2. Enter the Project name, and the Customer name.
  3. Click Save.

I need to create statements for my customers but I need individual statements for each project.

I can share some insights about how statements work in QuickBooks, LexFab.

 

The option to create a statement to a project is unavailable in QuickBooks Online. We can only create a statement to a customer.

 

Here's the list of transactions that can be added to a project:

  • Invoice
  • Receive Payment
  • Expense, Estimate
  • Purchase Order
  • Bill
  • Time

You can follow these steps on how to create a statement to your customers:

  1. Select Sales from the sidebar menu.
  2. Click the Customers tab.
  3. Tick the checkboxes for the customer or customers you want to make statements for.
  4. Select Create statements from the Batch actions drop-down.
  5. Choose the type of statement you'd like to make.
  6. Fill in the date fields.
  7. Click Apply, then hit Save.

It has been nearly three years since it was established this vital ability to create project statements is missing.  Why has this not been addressed?  One more thing we lost when we switched from desktop?

I have an alternative way of getting a copy of the data for specific projects in QuickBooks Online (QBO). I'm pleased to share with you the complete steps.

 

I know creating a project statement will help your business needs. I recommend that you send follow-up feedback to our product engineers. This way, they can further review and see if they can find a way to include them in the next update. 

 

Here's how: 

 

  1. Go to the Gear icon on the upper right-hand. 
  2. Select the Feedback button. 
  3. Type your suggestions in the field and click Next

 

The company is constantly seeking ways to improve its products. Feel free to vote, comment on ideas, and suggest your own by visiting this link: Customer Feedback for QuickBooks

 

While this feature is still unavailable in QuickBooks Online, you can export or print the project transaction list. This way, you review and send this to your clients.

 

Here's how: 

 

  1. Go to the Project menu on the left side. 
  2. Select the project name in the list. 
  3. Click the small gear icon and customize the fields. 
  4. Hit the Print or Export icon. 

 

Additionally, when you say we lost when we switched from the Desktop, do you mean that the customer job name (project) is lost? If this is the case, jobs move to QBO as sub-customer. If you track job costing in Desktop, you'll need to change sub-customers to Projects.

Let me provide some details on when the project statement feature will be added, dawnjohnson.
 

For now, we're unable to provide an exact time frame for when your request is added. You'll want to check out the QuickBooks Blog for any product updates that may include features added or even changes to QuickBooks Online (QBO) interface. 
 

In the meantime, you can follow the workaround provided by @MichellBh which is to print or export the project transaction list. 

 

Moreover, QuickBooks offers a variety of reports that caters to your business need. You'll just have to customize them to make sure you'll get the data you need most. I've added this article for your reference: Run Reports In QuickBooks Online.
