How do I reset or clear the auto numbering in the Journal Entry screen? QB keeps auto populating with my last journal name every time!

Welcome to the thread, Dwalker0007.

I can see how the journal entry numbering feature would aid you in managing your journal transactions in QuickBooks Online (QBO). I'll share further insights about this to help you keep your financial data accurate.

In QBO, a reference number (Journal no.) is required when creating a journal entry in QBO. When you've enabled the Custom transaction numbers feature, you'll have your own numbering system in QuickBooks. If it isn't showing the correct sequence of the number or letter format you entered, you can delete them and then enter manually.

On the other hand, I would encourage you to send suggestions or product recommendations. We'll take them as opportunities to improve the various features of our products. Here's how:

  1. Go to the Gear icon.
  2. Select Feedback.
  3. Type in your recommendation in the Share your feedback field.
  4. Click Next.
  5. Follow the on-screen instructions to complete the process.

Additionally, you can print a single journal entry or multiple entries on one report in QBO. If you wish to know more about this process, you can check out this article: Print a journal entry report in QuickBooks Online.

Please feel free to leave a comment below if you have other feature concerns or questions about managing journal entry transactions in QBO. I'm always ready to help.

No update. I just had to fix a new JE that got created with the JE sequencing from the last payroll run. Sigh.

Same issue. Surprised this has been an issue since 2021 and still not fixed.

Hello there, jacqui8

I understand the inconvenience that the auto-numbering feature in QuickBooks Online may be causing for your journal entries.

While QuickBooks' auto-numbering feature works as intended, some alternatives will meet your needs. One option is to enable and use the Custom Transaction Numbers feature. This feature allows you to assign your own numbering system to transactions, including journal entries. This will allow you to create a numbering format that is consistent with your preferences.

Furthermore, if you have a problem with a specific journal entry number, you can always manually change it to fix the transaction number. I've also added this link to access different articles that you can use for journal entry related issues: Journal entries.

Feel free to leave a comment for any follow-up questions or other concerns about journal entries. I'm always here to help.

None of your suggestions solve this issue. This is a particular issue for bill.com users when submitting payments through bill.com. From there, bill.com syncs with QBO and creates journal entries for batch payables, but QBO automatically assigns a journal entry for the last journal entry, most often a payroll accrual entry and posts a date sequence to it as well. This is what numerous people on this thread have been saying and the problem is continually ignored and the suggestions to solve the issue have not provided a solution to this time sucking issue.
