I am having problems with payroll expenses to projects. Is there a difference when marked billable or non-billable? What about multiple projects per employee?

Let me help you track your labor costs using projects in QuickBooks, @melanie.waddy.

 

With QuickBooks Projects, you can easily track all your projects in one place. You can view all the details including expenses, time, and payroll costs to see how they affect your profit margins. Let me show you how:

 

  1. Go to the Project menu and select the project.
  2. Click Payroll hours and enter the name of the employee.
  3. Fill in the rest of the information.
  4. Select Save and new.

 

For your second question, yes there is a difference between transactions that are marked billable and non-billable. You can mark a time activity as billable if there are expenses that are incurred by you on behalf of your client. You can unmark it if you're not billing or invoicing these expenses to your clients.

 

You can manually add multiple projects to each employee. Simply repeat the steps above to add them.

 

In addition, you can also run the Project profitability report to track how profitable your projects are. This way, you'll know exactly which projects are making money and which ones need your attention. Here's how:

 

  1. Go to the Project center and select the project.
  2. Click Project Profitability, then select View.

Thank you.  Unfortunately this doesn't help.  Maybe if I have more characters now I can explain further :).  We are using QB Payroll and TSheets.  I noticed yesterday, that for some reason, certain employee time did go against the projects, while others did not, especially those that worked on more than one project.

 

As for billable and non billable, do they appear differently against the project?  As in, if the hours are marked unbillable, do they go right against the project and billable doesn't until they are invoiced?  I'm not seeing a rhyme or reason that some items are posted correctly while others are not.

Is there a specific team to ask for?  I've already spoken with TSheets, I've also called payroll support a few times (gotten disconnected at least twice).

Oh no, I'm sorry to hear that. That's very frustrating, I'll do my very best to make sure we get you to the right person. I can see here that you were able to go through Payroll Item Mapping in TSheets with us recently. That's great. :) That gets us most of the way there.

It sounds like it may be beneficial to do a screen share so that we can get into the nitty gritty of the settings and see why things may not be coming over into Projects as they should.

To expedite the process I can see if we can have someone reach out to you directly instead. Would that be helpful?

We do NOT have 'Payroll Hours' to click in our projects. Is this possibly only available in QBO Advanced (we have QBO Plus)?? (I included a screen shot - this is after completing #1 from your instructions above - WHERE should we see 'Payroll Hours' to click on??)

 

We have some projects included payroll costs and some are not. Some projects include some  of the paychecks (all have the project in the time sheet), but not another paycheck - same employee.

 

PLEASE help - we really need this to be consistent and add all of the payroll we have posted to the project in time sheets to the project expenses.

Hey there, LRCBusiness.

 

Allow me to step in and help you further with adding payroll activities to the project expenses in QuickBooks Online.

 

If you haven't assigned the project to any transactions yet, you can see the Payroll hours option under the Expense section from the customer's projects.

 

Since you already attached the project to the transactions, the option to click the Payroll hours is no longer visible. I'd suggest to double-check each timesheet and see if you assigned the correct project.

 

If you're able to see the correct project and still doesn't show up on the project expenses, we can perform some basic troubleshooting steps to isolate the problem. We can start by accessing QuickBooks Online account in a private window.

 

Use these keyboard shortcuts depending on the browser you're using:

 

  • Google Chrome: press Ctrl Shift N  
  • Mozilla Firefox: press Ctrl Shift P
  • Safari: press Command Shift N

If you're able to see the information using the private window, let's go back to your regular browser and clear its cache.

 

However, if the problem persists, I recommend getting in touch with our QuickBooks Online Support to have this investigated. Unlike in this public forum, they have the tools required to perform any escalations in the system whenever necessary on your behalf.

I am having a similar problem where only partial hours for projects from TSheets are posting as wages against the project in QBO. It appears to be a problem with the payroll wage item settings but I can't find someone in customer service who fully understands the problem.

Making sure your projects pull up the correct data while tracking time is our task, BhamPro.

 

Since the issue appears to be with the payroll wage item from TSheets, you'll need to check if those items were correctly mapped.

 

You need to review the Payroll Item Mapping Tool to check if payroll items from TSheets match with the employees' record in QuickBooks Online.

I am having the same issue with my projects. 

One employee's time is used with the profitablity and mine it not.

I cannot find the difference.
