I am looking for detailed guidance on how to create invoices using the Projects feature so the Project Name prints on the invoice. I am utilizing Quickbooks Online.

Hello there, tjneigum.

 

We're unable to show the project's name when printing the invoice. Only the customer's name that's associated with the project displays. You'll want to add custom fields to your sales forms and manually enter the project's name. 

 

Let me show you how: 

 

  1. Go to the Gear icon and select Account and settings
  2. Under the Sales menu, select the Sales form content option. 
  3. Enter a Name for the filed something like Project Name, put a checkmark to both Internal and Public option. 
  4. Click Save and then Done.

When you create an Invoice, still select the project under Customer and just type the project name again on the field you just created for it to display when printed. To review the form, just click the Print or Preview menu at the bottom of the Invoice page.

I've read in some past posts that others commented about having this option added in Quickbooks. While it's nice it can be manually entered on the invoice, is there a reason that Quickbooks can't make the change and have a button to toggle to add the Project Name on the invoice? The Project Name is already in Quickbooks, so this would seem like a simple upgrade to allow this to be accomplished automatically versus having to enter this information manually for every invoice issued. I'm evaluating other software for my business, so I'm looking for the most efficient software to utilize. Having to enter the Project Name manually for each invoice issued is definitely a disadvantage of your software.

While adding the Project Name manually is nice, is there a reason that Quickbooks doesn't upgrade the software so this can be added automatically? The Project Name is already data that is in Quickbooks, so it would seem like a minor programming upgrade to allow this information to print on invoices automatically if desired with an on / off toggle versus having to enter this information manually for every invoice issued. I am evaluating software for my business, so I am looking for the most efficient software available. Having to manually enter the Project Name on every invoice issued is a disadvantage of your software.
