I can't retrieve any of my older invoices which makes QuickBooks useless to me if I don't have access to them

I'd be pleased to lend a helping hand in retrieving your old invoices in QuickBooks Online, @collier-hardwood.

The system only displays the last 365 days until the current period of transactions. You got you covered on how you can locate those entries beyond the said number of days.

QuickBooks Online prioritizes the recent invoices since these are the transactions that we'll need to manage. To view your past entries, you can go to the Customer tab. Then, view all the invoices that we had created in the previous years. 

Know that as long as the transaction is not removed or deleted, you should be able to view them.

To do that:

1. Click Customer under Sales.
2. Select the name of the customer. It'll show all the transactions made. 
3. Click the Filter drop-down arrow.
4. Choose the type of transaction you'll want to show.
5. Make sure the date is set to All dates.
6. Then, hit the Apply button. 

On the other hand, if the transactions are still not showing up, I recommend checking the Audit Log of your account. This area keeps track of your activities in the audit log. You can see who made changes to your books and what they did. This way, we can verify on what happened to your old invoices.

Here's how:

1. Go to Gear icon.
2. Press on Audit Log. 
3. Select Filter. 
4. Use the fields on the Filter panel to choose the appropriate User, Date, or Events filter to narrow the results.
5. Select Apply.

Lastly, it's also a good idea to run a sales report so you'll be able to see the transactions that you have in the system. You may want to learn more about customizing the reports in QuickBooks Online. It shows about including and excluding the information you want on the report.

The steps provided by my colleague BettyJaneB can help you retrieve the old invoices. You also have the option to run the Invoice List report to get the data. 

Here's how:

1. Go to Reports on the left panel.
2. Type Invoice List in the search field.
3. Select Custom from the Report period drop-down and choose the date you want to view.
4. Click the Run report button.
