Is there a report that will show actual inventory on hand(including the pending sales orders?) When we take an order we enter the invoice and mark it as "pending". Once we ship it we mark take the pending mark away and finalize the invoice. I am running into issues when someone calls and wants to know what we have on hand. Our inventory is showing a number but that number does not include the pending sales that we will be shipping out. So for example Inventory will show 2, but we have a pending invoice showing 2 which would make actual inventory 0. How can I go about fixing this?
Hello there, @pgh1949.
Thanks for letting us know what you're trying to achieve today. You can run the Inventory Stock Status by Item report to get information about on-hand inventory.
Here's how:
You can also open the Inventory Valuation report to check if the quantity is accurate.
Additionally, read and learn about customizing reports in QuickBooks to help you focus and generate the details that only matter to you and your business.

Thanks for the info. I have done that, but my report will not include the non posting transactions. Even after I go through the filter settings to include posting and non posting. Is there a way to fix this?
Hi, jennyf.
I can share some insights about running an on-hand inventory report.
The information provided by my colleague will let you see the available quantity of your items. If you haven't seen the information you wanted, you can run the item listing and compare it with the Inventory Stock Status by item report.
Here's how:
In addition, the non-posting transaction will not affect the actual inventory. This could be one of the reasons why you haven't seen it on your end.

Thank you. That must be the problem. Here is where we are running into an issue. For example: On hand inventory shows 5 vases left. Someone calls and places an order for these 5 vases.(We make an invoice but mark it as pending and do not finalize until after it ships which can be a week or 2). Someone calls a day later looking for these same vases. Inventory still shows 5 so we tell them we have 5, but in reality we do not have any because of the prior order taking the 5. The invoice just was not finalized yet because it wasn't shipped yet. Essentially we are giving the customer false information and its biting us when we have to call and say actually we are out.
This is not the kind of experience that we want you to have, jennyf.

There is a trick that I came to know love to share here. That is if you create a List name and make the items to its subcategory. Then you can get the quantity on hand report. It will not show the quantities which have '0' Quantity.
Would this let me create an inventory report for only specific items, i.e., not ALL inventory, just a specific set of it? Is the List option how I can create sub-catagories in Inventory? Thanks so much!
