If I have a digital invoice from a business expense, can I upload it somewhere and QB will then read it and create the expense

QuickBooks Online (QBO) offers a Receipt Capture feature that allows you to scan or upload receipts. Then, it automatically extracts the data to create a transaction for you to review, edit, and match.


You can use the QBO mobile app to capture receipts on the go or upload digital receipts directly through the web interface. This can save you time and reduce the need for manual data entry.


Here’s how you do it:

 

  1. Install the QBO app, then open it.
  2. Select the Menu ≡ icon.
  3. Go to Receipt snap.
  4. Click the Receipt camera and snap a photo of your receipt.
  5. Select Use this photo, then Done.

Aside from the method above, you can also email your expense receipts and bills into the system to automatically pull dates, amounts, vendors, and the last four digits of the credit card. See this guide for more details: Email receipts and bills to QBO.

What access does the user need? Is it access that doesn’t allow them to see all the financials and JUST upload receipts??

 It would be beneficial to have a feature in QuickBooks Online that allows easy recording of invoices and receipts without manually entering each transaction info through a Receipt Snap option. Let me share some information about the availability of this feature.

 

The availability of this feature varies based on the location. Currently, it is only accessible in selected regions such as the United States, Canada, the United Kingdom, Australia, and South Africa. However, if you're using a different version, you can search for a third-party app that captures receipts or performs similar tasks.

 

If you want a Snap Receipt feature in your area, you can submit a request to our Product Development Team. They will review your product suggestion and may include it for future updates. These are the steps to follow:

 

For Android devices:

 

  1. Tap the Menu button, then select the Gear icon.
  2. Choose Feedback from the Help section.         
  3. Enter your suggestion and click Send Feedback

 

For iOS devices:

 

1. Select Help & Feedback from the Menu ☰ icon.

2. Click App Feedback to type in your product suggestions.

To be clear, after scanning a receipt will QuickBooks then separate the items into their appropriate categories? For example food vs clothing vs automotive (scanning a Costco receipt)

I'm here to assist you, and I'd like to gather a bit more detail to better understand the workflow of your expenses in QuickBooks, Md01.

 

Please take note that QuickBooks won't separate the expenses automatically. After scanning the receipt, you can choose an expense account. If you want to split those expenses, you can do it through the For review tab.

 

Here's how:

 

  1. Go to Bank transactions.
  2. Find the transaction on your For Review tab. 
  3. Click to open the transaction, and select the Split button. 
  4. Provide all the necessary information on the window that appears.
  5. Click the Save and add button once you're done.

Please know that QBO doesn't have an in-built functionality to scan invoices directly through its web interface. However, you can achieve this by using the QuickBooks mobile app, which is designed to handle these tasks seamlessly.

 

At the same time, you can utilize third-party applications that can be helpful for a more seamless process of scanning invoices. To find one, you can go to our marketplace to search for one or browse from the Apps section of your QBO account. To do so, here's how:

 

  1. On your left navigation panel, go to Apps.
  2. Select Find apps.
  3. Use the search field provided to find an app suitable for you, or utilize the Browse categories dropdown.

I do not see anything regarding scanning these are all apps using a mobile device, I have an Epson FF640, which has receipt scanning software I know it worked with earlier versions of QB so where is the function in Accountant?

Hi there, @Bob561. Let me share more information about scanning receipts using Epson.

 

The function to scan a receipt using a software scanner from Epson is still available. You can follow these steps on how:

  1. Make sure your invoices or receipts are scanned and reviewed.
  2. In the Export and Save window, click QuickBooks Online. Select the export expense transaction you want to export.
  3. Click Connect and enter your QuickBooks Online information.
  4. Select the expense transaction you want to export the data to and click OK.

 

However, if you're unable to find this option, I suggest contacting Epson support to guide you.
