Is there a way to schedule invoices to mail on a later date?

I used to use Square and could schedule invoices to send at a later date. How do I do this in QB?

You can set a schedule for your invoices by entering a recurring transaction in QuickBooks Online (QBO). The recurring transaction creates a series of transactions according to the schedule you set. Here's how:

 

  1. Sign in to your QBO account.
  2. Click the Gear icon, then select Recurring transactions.
  3. On the page, select New and choose Invoice from the Transaction Type drop-down. Then, click OK.
  4. Enter the template name, then select Scheduled from the Type drop-down.
  5. Fill out the necessary information.
  6. Click Save template.

 

Once you choose the recurring transaction to be sent via email, it'll be sent automatically. For more guidance, you can check out these articles:

Thank you, Mark.  This is not a recurring transaction; it's a project that occasionally pops up when my client sends me work.  It's not on a fixed date.  I have recurring invoices set up for clients on monthly plans, and they are invoiced on a fixed date.  With this client, we have agreed to invoice on Fridays.  I can set a calendar task, but I would like to schedule it and forget it.

In QuickBooks Online (QBO), you can create a schedule for when to email an invoice when you use the recurring feature as outlined by Mark_R. Since you need to invoice your client every Friday, you can set the recurring template Interval as Weekly. You can also set a Start date and End date depending on what you and your client discussed.

In case you want to have a list of your customers’ outstanding balances, you can run the Accounts Receivable aging summary report. This report will show you how much are still due and how long they're past due.

It's nice to see you posting your concern in the QuickBooks Community, tracey3. Let me share further details about creating an invoice template in QuickBooks Online. Then, to ensure you can accomplish your goal in setting up an entry at a later date.

 

Yes, the details mentioned by my peer Divina_N about setting a recurring template as Interval and Weekly are the steps to set up an invoice. Then, the entry will automatically send to your customer every Friday. 

 

However, if you only want to send the invoice to the customer on a later specific date, I recommend setting the start and end date. This way, the recurring will stop sending on the end date you've set up. I've attached a screenshot below for visual reference.

Hi Tracy, I would suggest a third part integration.

 

Check out this one from MonkBe. They provide a chrome extension that allows you to easily schedule one off invoices in the future. They even allow you to schedule the time that the invoice should be sent, not just the date.

Mark! What's your problem? Nobody said ANYTHING about recurring (except you). What you're really saying is no, there's no way to schedule a normal invoice for future delivery. Then my question becomes, What's wrong with Intuit? Who WOULDN'T want a way to schedule ANY invoice for delivery? Why only recurring invoices?

 

I have to say, your programmers make some interesting (read stupid) decisions. Why would you limit your functionality?

This is not the kind of impression that we want you to feel. Also, I understand how this can be beneficial for your business and to other business owners using QuickBooks Online (QBO).

 

You are correct that there is no way to schedule the delivery of an invoice for a later time. Additionally, we wish to understand the needs of business owners. So, I recommend sending feedback directly to our product engineers. This way, they can get notified of the features that business owners need.

 

Here’s how you can submit them:

 

  1. Go to the Gear icon.
  2. Select Feedback.
  3. Enter a brief description of your product suggestion.
  4. Click Next to submit feedback.

 

We regularly take your suggestions into account while updating our products. Here, you can track the progress of your feature request in our Feedback forum. The more requests we get for it, the more likely it is that we'll include it in future updates.

Firstly, being able to create invoices and scheduling automatic delivery at a later specific date would be a wonderful feature and honestly I can’t believe it hasn’t been added as a feature yet!

 

Would a work around be to create a “recurring transaction” with the start date and end date the same?

To have a program that routinely generates and sends invoices to our clients is a huge time-saver. I'll share some insights about recurring transactions in QuickBooks Online.

 

Yes! The recurring transaction is the best alternative to automatically sending scheduled invoices. All we have to do is, set the start date for when it will start and the end date for when it will end.

 

You can set up repeating templates for items for bills, costs, and other recurring activities you regularly do. We can learn the steps in this article: Create recurring transactions in QuickBooks Online.

I did this but do not see the invoice when I go under the customer.  I linked it to the customer, so why don't I see it?  I am most likely going to create it again thinking that I didn't do it

@suzannek1   If it is before the scheduled date, it won't show up.  The Recurring transaction invoices only show in customers or vendors, once that date hits.  

If it is after the scheduled date, there may be another issue.

If the recurring invoice is newly created, it wouldn't instantly show under the customer. It will only appear once it's been sent to them according to the set schedule. 

 

I'll guide you on where to see the created recurring invoice:

 

  1. Go to the Gear icon.
  2. Select Recurring transactions under Lists.
  3. Look for the template you made and click Edit to review the details you entered.

 

In addition, you may also customize the appearance of your sales forms so they would look professional and personalized.

There needs t be a better way.  I am not even going to check back with reoccurring transactions for an invoice.  I need to see it under the customer.  Another excel sheet it seems.

Is there a way to schedule invoices to mail on a later date?

Looks like this has been a request for a long time. I still have this need. I'm a small business person, and often I don't get to set up my invoices until late in the day, it's currently 7 pm I've created a bunch of invoices using Send Later and now I need to remember to log in tomorrow morning go filter to find them and then send. I don't want to send them at night for them to get buried in email. I also don't want to risk a work emergency distracting me from remembering to send the invoices...did I mention I'm a small business person, every day is a work emergency.

 

Before someone suggests templates and recurring invoices, I'm very familiar with and use those when I can but most of our business is not recurring.

 

I just want Send Later to work the same way it does in nearly every other place in the world (MailChimp, HubSpot, Gmail, even Outlook) Send Later > pick the time you want it to send > done.

 

I can't understand why it doesn't already work this way.

 I can see how important it is for you to send scheduled invoices from QuickBooks Online (QBO). The option is still unavailable, and we don't have a specific timeline as to when setting a scheduled time for invoice delivery becomes ready. Rest assured our engineers are working nonstop to enhance the product and deliver the best experiences for all QuickBooks users.

 

While waiting, you may send a feature request to our product developers to notify them about your request. Added features in the program depend on the number of requests sent to our product developers. 

 

To start:

 

  1. Sign in to your QBO account.
  2. Go to the Gear icon at the top, then Feedback.
  3. Enter your comments or product suggestions.
  4. Hit Next.

 

Once done, your valuable suggestion goes to our designated team to help improve your experience in QBO. You can track feature requests through the QuickBooks Online Feature Requests website.

January 2024 - yes still needing this feature. I have to say I think Quickbooks is starting to lag behind competitors in terms of basic functionality. QB have the facility to 'Print later' so why not 'send later' - surely not a difficult development request?

 

We have clients that book projects with us and we need to send them one invoice now as a deposit and another one in 3 months. I raise both at the point of the client placing the order so I dont forget to invoice them the second part of the order, but often forget to actually send the client the second one in 3 months time. All I need is the ability to schedule the invoice to go in 3 months time. Setting up hundreds of recurring transactions for this seems impractical.

 

I'm looking for alternatives to Quickbooks come the end of the company tax year in March 2024. Can't see anything being developed before then as this request seems very old looking at the thread. Clearly not a priority for Inuit despite putting their prices up heavily recently.

Please stop pushing Recurring Transactions. They are not the solution for this issue. We need to be able to auto create invoices and auto send on a select date and anything less is unhelpful.

This WAS a feature of QuickBooks Desktop and it is greatly missed.  I prefer to send my invoices later as I like to give my clients a chance to make sure the job is working.

Likewise, I would like to schedule a single invoice to send on a future date. Not a recurring invoice and definitely don't want to go to the trouble to set up a template for a single use invoice.  It doesn't make sense not to be able to do it right on the creation of the invoice (for example, as you can in Paypal or bill.com).
