Let me provide some steps for sorting your invoices by city to figure out your tax calculations.

 

First, let's make sure the Track Location setting is turned on. This is to ensure you're able to track your transactions by state in your report. Also, this enables you to specify the location every time you create a transaction like an invoicesales receipt, etc. Here's how we can do this:

 

  1. Go to Settings, then choose Account and Settings.
  2. Select Advanced.
  3. Click the Edit icon in the Categories section.
  4. Turn on Track locations.
  5. Click Save, then Done.

 

After this, we can go ahead and run the Sales by Location Detail report. Here's how:

 

  1. Go to Reports on the left side menu.
  2. Type Sales by Location Detail in the search box.
  3. Pick a Report periodGroup by Location, and Accounting method.
  4. Hit Run Report to display the desired info for this report.

I need to create a sales report by city. For instance I need a report showing all the sales we did in Santa Monica last year. How do I create that?

I've got you covered, @Jdelgado61. Let me provide the steps to generate a sales report by city in QuickBooks Online (QBO).

 

Are you using the location tracking feature to easily trace your sales by city last year in QBO? If so, we can customize the Sales by Location Detail report to see your desired data. I'll gladly  show you how:

 

  1. Go to the Reports menu (Take me there) and look for the Sales by Location Detail report.
  2. Choose the Last year from the Report period. Then, pick the correct Accounting method.
  3. Click the Filter button.
  4. Pick the Location from the Filter by dropdown, equals from Options and pick the specific city in the Value dropdown.

  5. Click the Refresh report to see the customized report.

Being in the Classic view of your Sales by Location Detail Report can be the cause of why you don't have the filter option. Let's switch to the Modern view so you'll have the filter button. Refer to the screenshots below for easy navigation.

Once done, you can now have the filter option. Here are the steps to proceed:

 

  1. Click the Filter button.
  2. Pick the Location from the Filter by dropdown, equals from Options and pick the specific city in the Value dropdown.
  3. Click the Refresh report to see data.

 

Alternatively, you can also use the Customize option and filter the location. I'll show you how:

 

  1. Click on Customize.
  2. Hit the Filter button.
  3. Tick the Location checkbox.
  4. Hit the dropdown arrow beside All to choose the location you want.
  5. Finally, Run report.

I have done exactly as was stated, however, I still cannot get a report by city out of QOL. When I go to the filter I cannot get a selection on the value window drop down. What have I missed this is a critical report as many cities here is California are now asking for this data to renew business licenses ?

I know a way how to run the location report to show the Value field in QuickBooks Online (QBO), Rick0071.

 

We'll need to switch to the Modern view to show the Value filter button in the report. You can check out the screenshot below for your reference:

Then, follow the steps on this thread to run the Sales by Location Detail report and choose the specific city in the Value dropdown. If the same happens, we can use an incognito window upon logging in to your account to isolate this. This prevents your browser from storing additional cache files. Here's how: 

 

  • For Chrome, press and hold Ctrl + Shift + N
  • For Firefox, press and hold Ctrl + Shift + P
  • For Safari, press and hold Command + Shift + N
