I need to make an accountant's copy using a jump stick for my accountant.

How do I make this copy, what do I use for a dividing date, and how do I

set up a password so that only my accountant can get into my QuickBooks?

Allow me to share some information on how you can create an accountant's copy of your company file and set a password for it.

 

Here's how:

  1. Go to File.
  2. Choose Send Company File.
  3. Select Client Activities.
  4. Click Save Files.
  5. Choose Accountant's Copy, then click Next
  6. Set your Dividing Date.  
  7. Locate the location of your jump stick (:F or any removable device).
  8. Click Save.

On the other hand, when you set a dividing date on the company file, it only means that it is the date range of the data that your accountant can only work on. To set it. Lastly, password can only be set for accountant copies that are sent via email.

I followed the instructions, but it did not save to the pen drive.

Now I don't know where to find it. I need to get info onto the pen drive...

I appreciate you for taking the time to follow the steps provided by my colleague to create an accountant's copy of your company file and set a password. Now, you can try to save it on your desktop file and copy and paste it to your pen drive.

I am trying to create an accountant copy; however, the send file area is greyed out.

Let's check if this has something to do with the data integrity issues. Now, let's run the verify and rebuild to check data issues within your company file and resolve this as soon as possible.

 

Here are the steps that will walk you through verifying the data:

  1. Click the File menu.
  2. Select Utilities.
  3. Choose Verify Data.
  4. If the Verify Data pop-up window appears, just click OK.

 

Then, here's how to run rebuild data:

  1. Go to the File menu.
  2. Choose Utilities.
  3. Select Rebuild Data.
  4. QuickBooks will prompt you to create a backup copy, click OK.
  5. Follow the on-screen instructions to complete the backup. 
  6. Once the process is complete, click View issues.
  7. Close the QuickBooks Verify/Rebuild Results window.
  8. Close and open QuickBooks again to ensure all components are updated.

I've just had another occurrence of QB adding a password to an accountant's copy saved to a flash drive. This happens occasionally. Is there a way to prevent it or a password to enter to open the file?

Any help would be greatly appreciated.

Thanks for checking in with the QuickBooks Community. I’d be happy to help get your Accountant’s Copy fixed up.

Typically, when a password prompt appears, and you have not password protected the Accountants Copy, it indicates that the file was damaged.

In this case, you will need to remove the Accountant’s Copy Restriction and recreate/resend the Accountant’s Copy.

As always, please be sure you have a current backup of your company file prior to making the copy.
