I've been a Quickbooks Desktop user since 2019 and I've recently been forced to migrate to Quickbooks Online. It's not been a pleasant experience. My company file migrated without any problems but none of my custom reports were preserved. Now I'm having trouble re-building my lost reports.
I use Quickbooks to account for my rental properties. When a tenant moves out, I provide them a Customer Balance Detail report so they can see their transaction history. To rebuild my custom report in Quickbooks Online, I went to:
Accounting - Chart of Accounts - Rents Due - Run Report (Rents Due is my only A/R account)
Group by - Name
All Dates
Run Report
Then I clicked Customize - Change columns and selected the columns Date, Transaction Type, Memo/Description, Class, Amount, and Balance and ran the report again. I saved this custom report with the name Tenant Balance Detail.
I'm not happy with the results because none of the information in the CLASS column is displayed in the report and the MEMO/DESCRIPTION column is blank for all Payments received!
If I click on an individual payment in the report, QBO opens the Receive Payment window where I can see the correct memo information. It just doesn't show up in the report. Similarly, if I click on an individual invoice in the report, QBO opens the Invoice window, where I can see the correct information in the CLASS column. It just doesn't show up in the report! This is so frustrating for me. I hope someone can help solve this annoying problem.
I uploaded the Tenant Balance Detail report from QBO. I'll also upload the same report from QB Desktop Pro 2019 to show the difference.
Let me clarify a few things about how the classes feature works in QuickBooks Online (QBO), MadUser55.
I appreciate you for providing us screenshots to better isolate the issue. One of the reasons why classes aren't showing on the transaction report for a specific account is that the class is assigned to each line item of the expense transaction or other expense category/accounts. We'll need also to make sure we turn on the class tracking feature in QBO. Here's how:
Then try running the report again. You can also run other reports by class to see if the data are showing on the Class column. You can check out this article for more details: Run reports by class. Also, double-check if there is information entered in the Memo field on the invoices for it to reflect on the Memo column when running the Customer Balance Detail report.
If the same thing happens, we can perform basic troubleshooting to fix this. Let's start with logging into your account through a private browser. When cache piles up, it causes issues that can affect the performance. Using an incognito window doesn’t store any cache files. It's a good step to isolate web issues. These are the shortcut keys:
If data shows correctly using the private browsing session, go back to your regular browser and clear its cache. It helps us refresh the system. If you're still having the same issue, you can use other supported browsers to help us narrow down your concern.
