Memo Field Inventory Transfers

Is there a way to get the memo field from the inventory transfer screen to show in a report?  It seems like the only way to view this memo field is to actually click in to the transfer.

The "memo" selection in customize reports returns the memo field related to the inventory item and not the transaction.

Memo Field Inventory Transfers

Hello @jasonagosti,

Some inventory reports have the option to add the memo column. Let walk you through how.

  1. Go to Reports, then Inventory.
  2. Select Inventory Valuation Detail. Then, click Customize Report at the top.
  3. Type Memo in the Search Columns field.
  4. Hit OK.

If the above report isn't what you're looking for, you'll want to click on the transfer to view the memo. For more in-product related articles about inventory. Just go to QuickBooks Desktop Help or press F1 on your keyboard.

Memo Field Inventory Transfers

Using that memo field doesn't pull that data field.  It appears QuickBooks has 2 different memo fields one related to the inventory transaction and one related to the inventory item.  The memo in the customize columns is related to inventory times as i said before.

Thanks for getting back here in the Community and providing more details about your concern, @jasonagosti.

An Inventory Valuation Detail report shows each item within the transaction, which is why the memo is not being used but instead the description for each line. You'll have to run and filter the Custom Transaction Detail report to show the memo field for the transactions. I'll guide you how:

  1. Go to the Reports menu at the top then choose Custom reports.
  2. Select Transaction Detail.
  3. On the pop-up window, click the Filters tab.
  4. Enter Transaction type in the Filter search bar.
  5. Under the Transaction type drop-down, pick Inventory Adjustment.
  6. Hit OK once done.

Memo Field Inventory Transfers

It looks like QB has an issue reporting the memo entered in the transfer inventory. The memo section shown in the reporting reflects the item description field and not the memo field entered in the transfer inventory. It looks like it is mapped wrong in the reporting on quickbooks programing. I have tried the custom reporting and the inventory site reporting and they both reflect the same issue.

Memo Field Inventory Transfers

Thank you for being so detailed about your concern, NadiaS.

I'm here to help and provide clarification on why the information shown in the Memo column is pulled from the Item Description field.

QuickBooks uses a concept called 'Sources' and 'Targets' to build transactions and data when running reports. If a line matches the report set, it’s added to the statement.

This is why the information written in the Memo field doesn’t show up in the Custom Transaction Detail report. Instead, the report displays the item's description.

You can also go over this article for more details: Understand reports. It includes information on how to pull up a transaction journal.

I can see how beneficial it is to a lot of users to have the information entered in the Memo field appear on inventory reports. I suggest submitting feedback about this feature straight to our product engineers for inclusion in future enhancements.

Here's how:

  1. Press the Help menu at the top bar to choose Send Feedback Online and Product Suggestions.
  2. In the QuickBooks Feedback window, click the Type of Feedback drop-down to select Product Suggestion.
  3. Pick the Product Area from the drop-down and your feedback in the Here is my suggestion box.
  4. Fill in the remaining fields.
  5. Click Send Feedback.
