Move a group of checks from one checking account to another

I have 2 separate bank checking accounts in my company chart of accounts. I manually entered over 150 checks into the wrong checking account. Is there a way to select all those checks and "move" them into the correct checking account?

Nope. You will have to edit the checking account on each check one at a time.

I have multiple checks in the wrong check register, you said you have to edit the checking account on each...

How do I change the checking account?

Can I open the check in the wrong register & choose the correct one? I don't see where to do that. Please help! Thanks!

Yes, you can open the checks with the wrong account and assign them to the correct one. Let me guide you how.

 

As mentioned by a ProAdvisor above, you'll need to edit the checks manually, one at a time. For you to edit them, feel free to follow these steps:

  1. On the Home Page, click on Check Register.
  2. Select the check.
  3. Under the Bank Account drop-down, choose the correct account it should be posted in.
  4. Click on Save & Close.

Same with QuickBooks Desktop, you’ll have to manually edit each check and change the bank account linked to it. 


Here’s how:

  1. Go to Expenses from the left navigation.
  2. On the Expense Transactions page, locate the check.
  3. Click the Action column drop-down of that check and select View/Edit.
  4. Update the bank.
  5. Hit Save and close.

Yes, you can change the bank account of your paychecks by going to the Payroll Settings section in QuickBooks Online. However, please note that it'll only change the information of your payroll moving forward.

 

Here's how:

 

  1. Click the Gear icon in the upper-right corner.
  2. Under Your Company, select Payroll Settings.
  3. Go to the Preferences tab.
  4. Hit Accounting Preferences.
  5. Next to Bank Account, choose the correct cash account.

If you need to change the information on your previous paychecks, you can use the Journal Entry option. I recommend seeking expert advice from an accountant on choosing the right accounts to ensure your books are accurate.

How do I do this but with a processed payroll items. I ran direct deposit payroll and it processed from the correct account, but posted in my savings account register. The drop down to change the chart of account isn't available in the register.

Allow me to answer your question about posting transactions in the right register, DeeDee.

 

The new bank account for payroll can only be used for paychecks that are created after the changes. 

 

Please note that QuickBooks will process the Direct Deposit from your actual bank account even if the one in your Accounting Preferences may be a different one. This is why it's important to update the banking details whenever you make changes to Direct Deposit.  Details about this are discussed here: Change Your Accounting Preferences in QuickBooks Online Payroll.


To move the amount from your savings to the correct bank account, you can create a journal entry. Allow me to share these steps with you:

 

  1. Click the + New button and select Journal Entry.
  2. On the first line, select the account that the amount was originally recorded in (in this case, your savings account) from the Account field.
  3. Enter the amount in the Debit column.
  4. On the next line, select the account that the amount needs to be moved to (in this case, your new bank account for payroll) from the Account field.
  5. Enter the same amount in the Credit column.
  6. Type in a memo or description for the journal entry.
  7. Click Save and close.
