Printing 1099

When I try to print a 1099, I get a message, Before you prepare and print 1099  you need to backup your data. I backed up the date online nd keep getting the message so I cannot proceed to print my 1099s. Can someone help me?

To start, let's try to back up your file manually. It could be that the online back up didn't go through. Here's how:

  1. In QuickBooks, go to the File menu and then select Switch to Single-user Mode.
  2. Go to the File menu again and hover over Back up Company.
  3. Click Create Local Backup.
  4. In the window, choose Local Backup and then click Next.
  5. In the Local Backup Only section, choose Browse and select where you want to save your backup company file.
  6. When you're ready, click OK.
  7. Once one, click Save it now and Next.

QuickBooks creates a single backup company file. When done, you get a confirmation message.

 

Then, print the 1099 form. If you still get the error. Let's perform the verify and rebuild to identifies some data issues.

Printing 1099

For some ungodly reason you suddenly have to back up your file before creating 1099.  Somehow, QB worked fine for 25 years without this requirement, and it continues to work fine when printing any of the ~300 supported payroll forms if you use payroll. Go figure.

 

And, based on posts here from reps pretending this is normal, you have to create a local backup to continue.

Thanks for the advice. We really appreciate it. The local backup worked. Then we needed to update some accounts maps. Got the 1099s printed.

Thanks for posting this! My frustration would have been totally avoided if the alert to backup the data said it had to be a local backup! You saved me!

Welcome to this discussion. Please allow me to assist you in completing the 1099 form.

 

You'll want to rebuild your company file if the same situation remains after doing a local backup. This is to make sure that your file isn't damaged in any way. Follow the instructions below:

  1. Go to the File menu, select Utilities, then Verify Data.
  2. Wait for it to finish scanning your file.
  3. Go back to the File Utilities and select Rebuild Data.
  4. Click OK when you get the message "Rebuild has completed".

Let's also make sure your QuickBooks Desktop is up to date. Because it installs new patches and fixes, it can help in resolving odd behavior.

I have backed local and online, verified date (no problems found), rebooted system.  Keep getting message "You've canceled the backup.  Before you prepare and file 1099 forms, you need to back up your company file."

We always recommend backuping company files to save everything currently in your company file. This includes your accounting data, templates, letters, logos, images, and related files. Since you already performed this one and the issue persists, you'll have to make sure that you run your QuickBooks Desktop in administrator mode. To do this, you can right-click the QuickBooks Desktop icon and select Run as Administrator.

 

Then, I suggest updating your QuickBooks Desktop to the latest release so you always have the latest features and fixes. You can click this article to see the detailed steps on how to perform the process: Update QuickBooks Desktop to the latest release.

 

If the issue continues to occur, I recommend running the repair tool for QuickBooks Desktop. This fixes common errors right away and helps you use it so you can get back to your business. 

 

Once everything is good, you can now continue to prepare and file the 1099 form so your tax data stays accurate and updated. After that, you'll choose to file them online or print and mail them to the IRS. Likewise, you'll also choose if you want to email copies to your contractors or mail them printed 1099 copies.

I'm having the same problem.  I've ran through the detailed procedures for creating a local back up, verifing data integrity, and even rebooted a few times.  Still have the message that I need to preform a backup before I can print 1099's.

With all the troubleshooting steps you've performed, you should be able to get rid of the backup message. Since it didn't work, I recommend contacting our QuickBooks Support Team.
