Your feedback matters, and it's greatly appreciated, Andrew. I understand how challenging it could be to crop a receipt manually. Although this option is currently unavailable, we recommend sending feedback directly to our product engineers as this also helps us improve our services.

 

Here's how:

 

  1. Select the Gear icon and choose Feedback.
  2. Fill in your suggestions in the Feedback field.
  3. Select Next to send it.

 

After using the receipt snap feature, you can email your receipt to QuickBooks Online. It will automatically extract information from it and generate a transaction for you to review.

I'm having the same issue. When you hold the camera over the receipt it produces a green rectangle around the receipt just as expected. But as soon as the photograph has been taken, you can see it has cropped only the top right corner of the receipt together with some background. This did not use to happen before. And it is pretty much 100% of the time that i then have to crop manually - so frustrating. I have found something on line about clearing the cache but that does not help. I cannot see a gear icon in the  latest update of QuickBooks I'm using - where is it please?

I can see how important it is to capture and upload your receipts accordingly in QuickBooks Online (QBO), and the Gear icon suddenly disappeared, fplbut. I'm here to route you to our support and provide an alternative for your receipts.

 

Beforehand, allow me to show you where you can see the Gear icon in QBO. Kindly refer to the screenshot below.

 

To access the Gear icon in QuickBooks, please navigate to the upper-right corner of your screen.

On the other hand, I recommend contacting our Support Team regarding the abnormal behavior of your receipts when trying to capture and upload them in QBO. They can also help you with the sudden disappearance of your Gear icon if you still can't see it on your end. They're well-equipped to provide assistance and resolution to your concerns.

 

In the meantime, we can import your receipts by uploading the file from your computer to QBO. Here's how:

 

  1. Save a copy of your receipt on your computer device. Please ensure that the file belongs to the list of supported formats: PDF, JPEG, JPG, GIF, or PNG.
  2. Log in to your QBO account.
  3. Go to the Transactions menu and select Receipts.
  4. Click Upload from computer. Then, choose your receipt to upload it to QuickBooks.

 

Finally, if you have an upcoming business expense, you can record it as a Bill in QBO. Then, enter your payments once you've paid the amount. To guide you through this process, kindly check this article: Enter and manage bills and bill payments in QuickBooks Online.
