QBO cost showing hourly rate as $0 on project report, not pulling info from product/service

using QBO: I can enter time in the weekly timesheet and associate it with a product/service and customer. The service has both the sales Price/Rate and Cost filled in.  When I run a project specific report it shows the cost rate (when hourly) is selected as $0.  I can click on each entry and manually type in the cost rate using the single time activity sheet.  This seems like a waste of time.  Why is it not pulling the cost from the service?

QBO cost showing hourly rate as $0 on project report, not pulling info from product/service

Hi there, @Steven D. Thanks for reaching out.

I'm here to help ensure the correct amount will show on your project reports in QuickBooks Online (QBO).

When entering a project in QBO, the costs are based on a specific expense account of an item or service. In your case, to further investigate the issue as to why the cost is showing as $0, let's check the service item used on the project if there's a cost set up on it.

Here's how:

  1. In the left menu, click Sales.
  2. Go to the Product and services tab.
  3. Locate and select the service item.
  4. Click Edit under the Action column.
  5. Under Purchasing info section, check the cost.

If there is, I recommend deleting and recreating the service item. Then, create project again. Once done, run a project report to see if it's now showing the correct amount.

To ensure you get the most out of the Projects feature, check out this article: Set up and create projects in QuickBooks Online.

Please let me know if you have other concerns. I'm just around to help. Take care always.

Thanks for your reply.  Same result.  QBO is not pulling the cost from the serivce entry into the project.  I have put together PDF showing and describing problem and what I am seeing.  Please review and provide your thoughts.  Thank you!

QBO cost showing hourly rate as $0 on project report, not pulling info from product/service

Hi there, @Steven D.

I'm here to share some insight about the cost that's not showing in QuickBooks Online Payroll.

The cost will appear on the billable rate if we use the weekly timesheet. The rate will appear in the cost section if you use a single timesheet.

Furthermore, I'd like to ask if you add the cost to the project. If not, we will need to add the rate to it will display in the Project section.

  1. Go to Business overview and select Projects.
  2. Select New project.
  3. In the Project name field, enter the project name.
  4. Select the project customer from the Customer ▼ dropdown.
  5. Add any notes or details about the project in Notes.
  6. Select Save.

For more details, please check this article for your guide: Set up and create projects in QuickBooks Online.

Thank you for sharing your experience here. Please know that we are here for you. You can also tag me.

QBO cost showing hourly rate as $0 on project report, not pulling info from product/service

Hello and thanks for your reply.

Your answer tells me what I already know and demonstrated via the PDF that I attached earlier.  The question is WHY is the service on the weekly timesheet different than the single timesheet.  WHY is service cost not populating the cost/hr in the project?  I took the considerable time and trouble to create a document with screen shots, annotations, and narrative showing the issue.  Setting up the project below has nothing to do with setting the cost rate.  Trying to get an answer is frusterating.  I'm going to attach the file again

I want to ensure this will be taken care of, @Steven D.

First off, I appreciate your effort in providing us with detailed screenshots. Doing so allows us to get a better picture of your concern which helps us provide you with a resolution. That said, let's work together to ensure that the service cost will populate in the hourly rate of the project.

To do that:

  1. Go to Projects and select Hourly cost rate.
  2. Look for the employee and click Add under the Cost Rate.
  3. Enter an hourly rate and click Save, and then Done.

Next, let's create a weekly timesheet to enter the total number of hours worked by your employee. Here's how:

  1. Go to + New and select Weekly Timesheet.
  2. Select an employee and the date range.
  3. In the Details section, enter the necessary information, such as the Customer and the Item/Service.
  4. Enter the hours worked by the employee, and select Save and close.

If the issue persists, I'd recommend reaching out to our customer support through call or chat. They have access to a screen-sharing tool that will help them identify the cause of the issue. This way, they'll be able to walk you through the troubleshooting steps better.

Moreover, you and your staff can track time while on the move by syncing QuickBooks Online with QuickBooks Time. You can use that time data to run payroll and invoicing automatically and helps with your job costing needs.

Please feel free to leave a reply below if you need further assistance with entering an hourly rate for a project. We're always available in the Community to help you. Stay safe.

QBO cost showing hourly rate as $0 on project report, not pulling info from product/service

Thanks for the explanation and showing the hourly tab on the projects section.  I tried this and it works however it assumes that my employees make a flat hourly rate.  Let me provide further context.  I own a construction company.  My partners and I are more hands on than typical contractors and we do have licenses and capabilities to legally do additional work.  We avoid hiring vendors to do things that we can do ourselves unless we have a backlog. Since I do different levels of work, I pay myself hourly differently depending on the service that I perform.  I have different pay types loaded into my employee profile and on the weekly time I can select the pay types a s applicable but the cost is only assoicated with the default hourly rate.  How do I make the cost associate with the pay types?

QBO cost showing hourly rate as $0 on project report, not pulling info from product/service

Good afternoon Steven D,

I appreciate the breakdown there. So what QuickBooks does, is assigns a simple hourly, salary, or commission rate per employee. Then, you are allowed to assign multiple pay types. The screenshot you shared, especially the last one, shows the cost rate for your hourly rate, not the pay types like framing, electrician, and so forth. So whereas you are looking for the different pay types, it is not going to show that, simply the cost rate for your hourly rate, which is working as it is designed to.

After taking note of this and understanding where you are coming from, I took it upon myself to submit a feature request. I encourage you to join me and submit a feature request for this as well. This way, our Developers will be aware and possibly add this to future updates. You can use the link below to do that.

If there is something you do not understand, please let me know so I can explain it further. If you have questions, don't hesitate to let me know by responding below. I am only one click away. Until next time, be safe and take care.
