Reconciliation cleared balance is correct but negative.

Starting balance, ending balance, transactions and payments are all correct as well as the number deposit and payments - but the cleared balance is showing as negative. If it were positive, the difference would be zero. How is this possible?

If your bank statement shows a beginning balance of $16,661.16, $22,624.01 in payments/withdrawals, and $5,520.17 in deposits, then it too must show an ending balance of -$442.68.  It's just simple arithmetic:

 

$16,661.16

-$22,624.01

+$5,520.17

= -$442.68

 

What are the amounts on your bank statement?

To clarify, have you checked for any duplicate transactions that could be throwing off the balance? If not, here's how you can: 

 

  1. Go to Bookkeeping, select Transactions, then select All Sales or Expenses.
  2. Sort the lists by date, customer, vendor, or amount.
  3. If you find obvious duplicates, you can safely delete them.
     

Important: Only delete transactions if you're absolutely certain they're a duplicate or error. If you aren't totally sure, please talk to your bookkeeper. If you don't have an accounting professional, don't sweat it. You can find one here in our Resource Center

 

If duplicates aren't your issue, I highly recommend checking our help guide: Fix issues at the end of a reconciliation in QuickBooks Online to see if you may have an underlying problem in another way.

I have just fixed duplicates and gone through the suggestions to fix issues at the end of reconciliation. Neither has changed the negative cleared balance. What else can I do?

You are correct! Yet my bank statement says the ending balance is positive. I will double check with my bank, maybe they are in error on my statement.

The Bookkeeping menu, previously used to access All Sales or Expenses, has been replaced in the current version of QuickBooks Online. You can now find this functionality under the Transactions section. Additionally, the All Sales and Expenses menus have been separated and are now accessible from the left panel of your QBO interface.

 

I've attached a visual guide that illustrates these changes. This should help you locate the features you need in the updated interface:

Regarding the Bookkeeping steps my colleague recommended for identifying duplicate transactions impacting your balance, you can efficiently perform this through the reconciliation page. Here's how:

 

  1. In the left panel, click Transactions, then select Reconcile.

  2. On the reconciliation page, locate the transaction in question.
  3. To modify the transaction, click Edit.
  4. Select Save and close.

  5. Tap More and choose Delete if you want to remove it.
