Reports with a Tag column

Hi- I'd like to run a report that shows all expenses from May 2023 to July 2023. I need it to include a Tags column (whether a tag was used or not) so I can make sure all expenses were properly tagged and that I did not miss any. Which report can show that information?

Good day, kball99. I'll help you run a report that shows all expenses with tags column.

 

To achieve your goal, you can run the Transaction List by Tag report. This report will provide you with a comprehensive overview of all your expenses within the specified date range (May 2023 to July 2023) along with the Tags column to indicate whether a tag was used for each expense.

 

Here's how you could do it:

 

  1. Go to the Reports menu.
  2. In the search field, search for Transaction List by Tag Group report.
  3. Make sure to set the reporting date correctly.
  4. In the Rows/Columns section, tick the Ungrouped tags box and other tag names you created.

  5. Go to the Filter section and select appropriate transaction in the Transaction Type box.
  6. Customize it according to your needs. 
  7. Hit Run report.


Once the report is generated, you'll see a list of all your expenses within that time frame, including a Tags column that shows whether each expense has been properly tagged or not. This will help you ensure that all expenses have been appropriately categorized and that none have been missed.

Hi Sarah Ann,

Thanks for your message. I followed your guidance. However, the report is separated by Tags. There is a Tag column but the report does not show expense which were not tagged. It only shows the expense that were tagged. Also, my Tag labels don't populate in the drop-down box like in your example. Please see attachments. Do you have any other advice regarding this? Thanks again for your help.

Thank you for adding a screenshot as you update us on the result of my colleague's suggestions. I'm here to provide detailed instructions to view the same drop-down box as the example above.

 

To get a detailed overview of how different areas of your business are performing, you can access the Transaction List by Tag Group report. It will show transactions you tag as invoices, expenses, and bills. That's why it will not display those expenses that aren't tagged.

 

Let's customize the report again to show all the Tag labels you can choose from. To start, follow the steps below:

 

  1. Open the Transaction List by Tag Group report.
  2. Select the reporting period from May 2023 to July 2023.
  3. Press the Customize button at the top right.
  4. In the Rows/Columns section, group by Ungrouped tags
  5. Under the Select and reorder columns, scroll down to locate its other label. For example, Tag Group A.
  6. Press Run report.

This is excellent information. I still need a TAG column to be viewable in a standard Transaction Detail Report so that I can see which transactions need to be tagged without opening each one.

As kball suggested, the standard Transaction Detail Report needs a TAGS column so that I can see which transactions are not (and need to be) tagged. The Transaction List By Tag Group is helpful ONLY if the proper transactions are tagged.

I understand the importance of viewing a list of untagged transactions, zr.

 

As of now, the Transaction List by Tag Group report only shows the tagged entries. As a workaround, I recommend running the Profit and Loss by Tag Group report to view them. However, not all transactions will be shown in this report. I'll show you how:

 

  1. Go to Reports
  2. Search Profit and Loss by Tag Group report.
  3. Click Customize.
  4. Under Columns, click Total Only.
  5. On the Filter menu, select Tags.
  6. For the Tags menu, choose Not Specified.

  7. Select Run Report.
