Reset transaction number and Journal number in Quickbooks desktop

I have set up a Company file by copying an existing company file. The transactions inside the old company file have been deleted. However, when we input the transactions into the new company file, the transaction no. is not starting from #1. It follows the sequence of the old company starting from #1xxx. Please kindly advise how to reset it. Thanks

Hi, MPC7.

 

I'll ensure you're able to assign the transaction number base on what you want to appear in the entry.

 

In QuickBooks Desktop (QBDT), it follows a sequence from the last transaction number made. Thus, when we input the transactions into the new company file it will follow the most recent number then the next transactions automatically will follow the new sequence.

Hi team,

We understand that it follows the last transaction number to generate the transaction no. automatically. However, we have already CLEARED all journal entries in the new company file. We have just tried to add a new "Class" in the Class list. The Column "Num" is able to starts from #1. Can you please advise how to make column "Trans #" starts from #1 too?

I understand how you wanted to modify the value under the Trans # when running a report in QuickBooks Desktop (QBDT). However, this preference for reports is designed to track the number and the sequence of the transactions created. That said, it is the default set-up and is working as designed to assist customers with accurate tracking of transactions.

 

Additionally, it aids with duplicate transactions to know what was created first.

 

Moreover, browsing this resource helps you save your report customization to use the same filter and format in the future is a breeze in QBDT.

We have followed this link to create a new company file. Do u mean if we are using this method, the Trans# MUST NOT start from #1? How can we solve this bug? Please kindly help to solve our problem. Thanks

I could see how you’d want the transaction number modified to start it from 1. As mentioned by my peer above, it’s the default setup and works as designed. It means QuickBooks placed this preference in purpose so you can track your customer records properly.


As for the Settings, it’s only available in the QuickBooks Online platform and unavailable in QuickBooks Desktop. Please know that product features and functionalities vary as well as their arrangements and terminologies.

RE: Trans# MUST NOT start from #1? How can we solve this bug? Please kindly help to solve our problem. 

 

There is no way to reset the Trans #, which increases by one each time you record a transaction and never backs down, even after deleting some or all transactions. Once used on a transaction, a Trans # will never be used again.

 

This is not a bug. You're not supposed to be able to control that numbering system. There's no need to (I understand you want to, but you don't need to for QuickBooks to function properly).
