Sales Orders not closing after being invoiced

I ran our Open Sales Orders by Customer Report, and I have sales orders that I have issued invoices from and they are stilling showing that the sales order is open and not closed.  When I hit control H for the history on the sales order the Invoice information does come up.  Why are the sales orders not closing?

Sales Orders not closing after being invoiced

This can happen if the invoice was adjusted after being created and the Qty reduced. When that happens the sales order reopens.

Also, if you choose the option to create an invoice for selected items, even if you select all the item rows, QB may by default only create the invoice for items up to the quantity on hand, leaving part of the sales order unfulfilled.

On the problem sales orders, if you pick the option to create an invoice and choose the "for all of the sales order" option, does the resulting invoice include any non-zero quantities on the line items?  If so, those are the reason the sales order is still open.

Sales Orders not closing after being invoiced

Hi there, @sherri29.

Thanks for reaching out.

Sometimes in QuickBooks Desktop data can become damaged. This causes the program not recognizing the closed sales order properly. You can run the Verify/Rebuild toolVerify will detect any damaged data. The Rebuild will attempt to fix the damaged data detected. It also allows your QuickBooks software to refresh the data inside the company file.

Please make sure to create a backup copy of your company file before doing the Verify and Rebuild process.

Once you've ran the utilities, check if your sales orders are showing as open. If for some reason they are still showing as open, I recommend contacting our Support Team. This way,  an agent can take a look at your file and verify why the system is not recognizing the closed sales order correctly.

You can get in touch with our phone agents through this article: Contact QuickBooks Desktop support.

Please let me know if you have any questions or concerns. Take care and have a wonderful day!

Thank you BigRedConsulting!

We were thinking this may have been the issue, but were not sure.  I am hoping if I update the sales order to show correct quantities and information that this will eliminate this issue.

I appreciate the help and feedback!  Have a great day!
