Should I be able to view the expense receipt pdfs I have uploaded? I have uploaded DOZENS of receipts in pdf form but can't view them. Nothing shows in review window???

Hello there, @jk84mc1.

I've got some insights to share why you're unable to view the PDF file that you've uploaded in QuickBooks Online.

At this time, QuickBooks Online only supports the following file type to be viewed and uploaded in the system:

  • Comma-Separated Values (CSV).
  • Quicken (QFX)
  • QuickBooks Online (QBO)
  • Microsoft Money (OFX)

This is the reason you can't view the PDF file in the For Review window.

To get this issue sorted out, you may reach out to your financial institution and ask for a .CSV file of those expense receipts. You can also convert the PDF into .CSV file with the use of a third-party application

You can also visit these links I've attached below about manually uploading your bank transaction and fixing upload errors in QBO for reference:

I got your back if you have any other questions. I'm always here to help. Wishing you all the best and take care.

Thank you for your response Betty Jean.  These are copies of my individual daily/weekly food supply orders/purchases from Kroger Grocery store that I understood would show up in the receipts tab.  I pulled up the order online and printed it to Adobe pdf printer and saved the file on my computer.  I then "drag and drop" them to the top of the receipts page where they are added with the Amount but no other info and no picture of the receipt. (Adobe Acrobat 10 Standard software)  According  to the HELP in the receipts tab screen when I searched for acceptable file types...

File types you can use

You can use PDFs or images (jpeg, jpg, gif, or png).

My recept downloads from the Sams Wholesale website download as png files; so they up in the receipts tab...but the pdfs from Kroger do not.    Thanks in advance for your additional help.  Smiles Kim

I appreciate the complete details you've provided @jk84mc.

When you upload receipts in QuickBooks, you have to do it one receipt at a time. This way the system will be able to read the transactions on each file.

Here's a screenshot for your reference:

Thank you so much for your response

I had copied each individual receipt to a separate pdf file; then used "drag n drop" to the box at the top of the receipts tab screen.  All my receipts appear to be showing up in the list below; just not with their respective image (like the png files).  It only shows the pic of that little icon (as in your screen shot above); but when I click to REVIEW the receipt itself to fill in missing info...there's just a big blank screen where the receipt pic should be.  I have left that window open for over an hour thinking it might load slowly, but nothing.

Thanks in advance for your continued help.  Smiles, Kim

Hello again, @jk84mc1.

When uploading receipts in QuickBooks Online (QBO), the file format best accepted is small file size and .jpeg or .png for the picture to show.  That is the reason why the uploaded PDF file can't be seen.

Additionally, I want you to get the most out of QuickBooks for your business. You can check some articles that are designed to help you get acclimated to the software. They can be accessed at the following link: QuickBooks Tutorials.

If there's anything else I can do for you when uploading a logo, let me know by commenting below. I'd be happy to further assist you. Have a great day.

Thank you for your response Mirriam.

I will admit it's disheartening to learn that so much time has been spent in vain. (I'm sheltering at home anyway with little more to do, since I'm also in my 7th cast since breaking my foot Aug 28th, all while trying to look after my elderly live-in Mother with dementia).  I've been trying to troubleshoot this matter for several days, both adding, deleting (because I thought I did something wrong) then re-adding all those receipts; only to have to re-DELETE them again, when they were never designed to show up in the first place...despite the directions clearly stating that the QBO system WAS designed to accept receipts formatted as pdf's.  I know you can scan receipts thru the phone app; but not everything fits in that little green frame that keeps bouncing all over the place.  Clearly this is just another QBO features I will not be able to fully benefit from.

Oh well, GA's Gov just grounded Mom till end of April now, so I've got plenty of time to kill.  Time to start all over once again.  I just LOVE a challenge!

Still Smilin',  Kim

Also thanks for the link to the tutorials Mirriam.  I will be looking through them when I can to hopefully gain a better understanding and experience from QBO.    Smiles,   Kim
