I can see that you did everything you could to fix the issue. Since none of the steps shared above worked, I recommend contacting our Customer Care Team. They can review your sales transactions and check to see what's causing your income to increase in the report.

I am having the same issue or similar as well. I have my personal business bank accts synced to QB and when I later (after a month or 2 of having my business) decided to sync Square just to make things tidier I noticed it was a huge mistake! I have many duplicate sales adding to the sales and tax amounts in QB numbering in the thousands of $ and they cannot be deleted. I like the other aspects of QB but this is a nightmare. I think I will unlink Square from QB and of course I still need to delete the data manually from QB assuming it will even LET me. How very frustrating. How did unlinking Square work for you?

Hi There,

I have a similar yet different issue.  All the Square sales from Thursday July 28th through Sunday July 31st are getting recorded as August sales because Square deposits Thursday through Sunday sales on Monday and Tuesday.  However, clearly the 28th through the 31 should be recorded as July sales since they were in fact July days.  I don't recall this being an issue in the past before QBO did a major upgrade.  How do we fix this so that we have correct sales transactions.  Square sales report are different now than QBO....this shouldn't be a thing but it is.

I am afraid this may be a QBO problem indeed.  I've since unconnected and reconnected Square to our QBO account and selected to view individual transactions instead of daily summary and even then we only get access to cash transactions, not credit card transactions.  Plus, of the cash transactions recorded, I do not see all of the cash transactions that occur in a day.

 

When I reached out to Square, they said it was a QBO issue.  Not fun when both sides are pointing the finger at the other side and the customer still isn't getting what they need to properly run their business.

I understand you're in a tough spot here, 0rganic.  

 

I'd like to check this for you and get it taken care of myself. However, as much as I would like to get this handled directly, about cash transactions that do not occur, this requires pulling up your account information, which I am unable to do in this public forum. Also, QuickBooks downloads transactions based on the data provided by your Square app.

 

I know you've already called in. However, I still suggest getting in touch with Square Support again. They'd be able to check on how your account is set up and prevent this from happening in the future.

No worries, I realized the easiest thing to do is just correct the date when accepting the transaction on QBO.  I fixed the transactions in less time than I spent emailing and researching for help.

I have the exact problem. Reaching out to Square made no difference. I will say that the duplicate (sometimes a dozen or more) invoices per actual one sale in QB do NOT exist in Square so it is basically off their hands at that point. Square shows one sale, Quickbooks shows many of the same exact one. The problem MUST be in the linking process. When QB links to Square and my bank it sometimes takes a very long time and hangs, and that's when I get nervous about everything being out of sync.

I can see how difficult this has been, @jmphoenix2000. That's why I'm here to ensure this will be taken care of.

 

Currently, there's an ongoing investigation (INV-77662) about getting duplicate Square transactions in QuickBooks Online (QBO). Our product engineers are aware of this and doing everything they can to fix the issue as soon as possible. 

 

In the meantime, I recommend contacting our Customer Care team to link your account to the investigation. This way, you'll be able to receive notifications and updates via email. Here's how:

 

  1. In your QBO account, select the Help icon.
  2. Next, go to the Search tab and click Contact Us.
  3. Then, enter a brief description of your concern and select Continue. 
  4. From there, choose either the Call or Chat option to connect with them.

I'm having issues with my Square transactions as well. I had no issue until recently, I could match the transactions and get everything to balance....However recently the transactions have not uploaded, so when I try to match the the transactions no new transactions have uploaded since August 27 it's blank from then on and I am not sure how to resolve the issue, how do I recover that data and correct the issue? 

I need that information to sync into Quickbooks so I can match the transactions.

Ideally, applications with an integrated connection can automatically download your transactions at a given time. Since you've got issues with missing transactions, it's best to contact the Technical Support Team of Square.

Yeah Quickbooks makes something so easy and complicates it to the max. I am concerned about using another third party app to link Square and QB as it already is a disaster and my first yr of records is completely out of sync. I guess it can get better or much worse.

Actually, it's Square.  The way they do deposits screws everything up, especially for hospitality focused business that are busy between Thursday and Sunday. Thursday through Saturday sales get deposited into your bank account the following Monday.  Sunday sales get deposited that following Tuesday.  Ok, no worries there.  But the deposit date is then updated to QBO in a manner that translates as if the sales were conducted on that day.  Square should come up with a way to differentiate between the day the sales happened, Thursday for example, and the day the sales are deposited, Monday for example.  QBO would then be able to match these transactions and we can get more accurate monthly, quarterly, and in the case of 2022, annual sales and P&L data.  We're not asking for world peace here.  Just someone to write code to fix the problem this problem that Square created.

Yea I have completely given up on the Square and QB sync. It has been nothing but a complete disaster with duplicates everywhere, stuff scattered and we've only had our business one year. On one occasion I had 12 duplicates of one sale, times a few dozen on other sales. I am having trouble now with syncing my bank account and it producing duplicates too. I'm just gonna use QB as a fancy spreadsheet for my expenses but I truly despise the program. Square is easy to use. Bank of America is easy to navigate. QB is just a maze of hassles.

I have to agree about the maze of hassles -- The desktop version was much easier to navigate.

 

However, it's Square that is my major stumbling block now. And it seems many people on this thread are having useless issues, and the help has been useless.

 

My problem:

Square was double counting my income, because it was showing up as income when it went into the "undeposited funds" account, it was recorded as income, and then when it went into the Square account, it was also recorded as income. 

 

What's really frustrating about hat is that the undeposited funds account was completely hidden from my eyes -- apparently the Square account that up and used it, but I didn't see it when I went in to confirm downloaded transactions or reconcile, or anything -- I only found it because I noticed my income was too high, and then I saw it in an income report.

 

I somehow got rid of teh duplicates, but now Square reciepts are being undercounted -- aarrgghh!

 

The question is How to set this up? I have a VERy simple setup, someone please tell me what to do:

 

I have a "Square" account, that is set up to sync with the Square app -- that's working, the reciepts and fees are recorded.

 

The receipts from Square go into my checking account -- whic is synced with teh bank, those deposits show up, and when I sync Square, it recognizes them as a match.

 

But what is not working is assigning the income account of the square receipts -- how do I do that? I'm fine with a single account for that, I'm not trying to keep track of individual customers. So what I want:

 

The Square account should show all the income as, well income in my "square receipts" account.

The Square fees should be set to my "Bank Fees" account.

The transfer to my checking account should show up as a transfer.

 

I have no idea what the point of the undeposited funds account is -- but if it's used, then I need to not double count the income!

 

This seems like it should be SO SIMPLE -- why can't anyone tell me how to do this?

Hello, 

 

I need help. I am unsure if I am doing this correctly. For some reason, When I am looking at Square's monthly sales report and I compare it to QuickBooks Reports it never matches it.  

 

The accounting process that I do:

1) APPS> Square> Accept Transactions

2) Transfer "transactions: amount and date" Square> Buss. Checking

2) Transactions> Bank Transactions> Match Transfer> add it 

 

Note: Square( inside of QuickBooks: created two categories "Sales receipts" and "Deposit") which Quickbooks separates it. I was wondering why?

 

from what I was reading, you have to match it from the "bank deposit" but I am having trouble. Can I get help as to where I may be doing it incorrectly?

Before anything else, I'd like to gather additional information about your concern. First, what reports did you generate in Square and QuickBooks? Also, it would be helpful to know if you've customized the reports in any way that could change the data displayed on the report. In the meantime, I recommend checking whether any reports you ran were customized. This might result in a variation in the reports. Also, it's important to note that sometimes sales receipts can be associated with a deposit, while others may not. This depends on the entry and whether or not a bank has been associated with it.

I went ahead and undo all of the transfers.  I have read and from what I was reading I am supposed to match bank deposits from the bank feed. What is weird is that I can match the bank deposit if I have click on the transaction (from the balance sheet), only when I have accepted Square transactions (From the APP section). What could I possibly be doing wrong? Please see below.

Hello, @accountingatheart.

 

You don't need to create a bank deposit to match it with your bank feeds. Also, you can use the Resolve Difference button when recording money-in and money-out entries.  

 

Additionally, there may be a difference between the Balance Sheet and Square reports. The amount displayed in the Balance Sheet is the accumulated amount, and when you click on it, there may be recorded deposits that don't match in the Square reports since they comprise sales transactions.
