Template for Email Statement Text

I'm trying to change the email that is sent out with the batch statements I email each month to customers so I don't have to retype it monthly.  I can't find a template anywhere.  I read one post that said if you change it once it will remain the same until you change it again but that isn't working either.

Hello there, @Coastal Fliers.

I appreciate your effort in looking for some related posts about your concern. I'll make sure that you'll be able to change it this time.

Here's how:

  1. Go to the Sales menu and select the Customer tab.
  2. Choose the customer you want to run.
  3. Click Edit at the upper right corner.
  4. From the Customer information window, change the Email.
  5. Click Save once done.

I've also added these articles about emailing an invoice:

Hi Maybelle,

I am not having a problem changing the email text template for invoices.  The problem is when I run statements.  I want to set a template for the email text that is sent with the statement.

Thank you.

Thanks for coming back for more support, @Coastal Fliers

Let's edit the customer's email in the Customer Information section so you won't have to manually change them every time you create a template. Here's how:

  1. Go to the Sales menu, then Customers
  2. Select the customer you need to update.
  3. Select Edit.
  4. Enter the correct email address in the Email field.
  5. Click Save when done.

Please note that the update you've made will also be reflected in other areas of your company file including previously sent invoices. Check out this helpful resource for more insights: Edit customer information

Should you need to customize your statements, read through this article to see your options: Create and view customer statements. It also includes answers to the most common questions about this topic.

Criminy ~ it's like you people can't read!  This was a question about text for emails, NOT adding an email address. No wonder it's so freakin' hard for me to find any real answers wasting hours trying to come up with just the right wording of my question only to find the 'answers' don't relate to the original questions.   :-(

Thanks for sharing your feedback about the responses in this thread, HandiChickNW.

Let me make it up to you by sharing the correct steps on how to change the text of the email when sending statements from QBO. Here's how:

  1. Go to the Gear icon and select Account and Settings.
  2. Proceed to the Sales tab and click Messages.
  3. Click the drop-down arrow for Sales form and select Statement.
  4. Change the text or body of the email in the Email message section.
  5. Click Save, then select Done

Here's an article about this for more details: How to Set Up or Change Customer Messages.

Thank you JenoP.  That is somewhere I would *never* have thought to look for this and no matter how I attempted to word my question in the 'help'/community/support site, I did not come up with an answer that had this information.

It's so frustrating to have to spend hours and hours searching/rewording questions to try and locate answers amongst other users... I miss the good old days of actually having Support persons one could speak with who were thoroughly trained in the company's product.
