There is a phrase in the "message" of invoices that is not in the "Custom Style Forms". No matter what I do the phrase prints before the message. Where can I edit that?

I have edited the Custom Styles, added new styles, changed styles, but no matter what I do, the original phrase still prints first in the message section of my invoices before the actual message I want there. I am not sure how I accidentally put it there in the first place. How can I find and then edit this out?

Welcome to the Community, @Katie in AZ. I'm here to help ensure that you have the correct text entered on the message part of the invoices in QuickBooks Online (QBO).

 

The text shown on the message section of the invoice form is based on the info entered in the Custom form style page. To verify and change this, below are the steps you can follow:

 

  1. In your QBO account, go to the Gear icon and select the Custom form styles option.
  2. From there, look for the invoice template you need to edit and click the Edit button.
  3. Once opened, navigate to the Content tab and select the Message on invoice section (the third part).
  4. Perform the necessary changes in the box under Message to customer on and select Done.
  5. After that, create an invoice and make sure you select the correct template.

You might also want to monitor your income by generating sales reports. To do so, simply navigate to the Reports menu and scroll down to the Sales and customers section. From there, select a report based on the info you need.

Actually, the Custom Style Forms was not the problem. I read this post:

and saw that user had originally put a custom message under "Receive Payment" when setting up QuickBooks. I realized that's what I had done as well.

 

So, I navigated to "Receive Payment" under Settings>Accounts & Settings>Sales then choosing "Invoice Payments" then "Payment Instructions". I had a custom message there. I deleted that custom message. It doesn't affect invoices I've already created (even if I try to edit them and re--send) but it does stop putting that message on my new invoices.

Before anything else, thanks for sharing a solution on the other thread. We’re grateful for your output.


To get rid of the old invoice message, you can delete them and try to resend them. It helps trigger the program to reflect the changes.

 

If the issue persists, we can perform some troubleshooting steps to rectify this. First, access your QuickBooks Online account in an incognito or private window for testing. Here are the keyboard shortcuts you can use for quick navigation:

 

  • Press keys: Ctrl + Shift + N (Google Chrome browser)
  • Press keys: Ctrl + Shift + P (Mozilla Firefox browser & Microsoft Edge)
  • Press keys: Command + Shift + N (Safari browser)


Once logged in, check your invoice forms. You can redo the process if needed. If it works, get back to your regular browser and clear its cache. Doing this helps the program to run better. You can also use other supported browsers as an alternative.
