Transaction detail report is missing NAMES for deposits with multiple line items.

With QB Online, deposits that have multiple line items (multiple checks to deposit) do not transfer the customer name to the transaction reports. A single deposit with a single line item (one check) will show the name of the customer in the transaction report, but a multiple line deposit will not show the names. This was not the case with QB Desktop.

For example, run a P&L report. Pick a revenue line and "double-click" to see the transaction detail. If there are "blanks" under the NAMES heading, then those are split deposits. The back end coding is not pulling from the line item fields correctly.

The only way I found to get around this is to "customize" every transaction report by gong into the report settings (gear icon) and adding in the columns for Customer and Vendor fields. You have to do this every time. It's super frustrating and we did not have to do that with QB Desktop.

Please have the engineering team look into this. Unfortunately, it's only going to be a priority if enough people complain about the same issue. It took me 2 days to research and isolate the issue, so I doubt others will realize this flaw in the coding to even report it.

Transaction detail report is missing NAMES for deposits with multiple line items.

Hello, Nonprofit CEO-CPA.

I appreciate your time in raising your concerns about the Names header on reports. I agree that doing extra steps is indeed frustrating, and would take too much time. So, I'd like to address this for you and shed some light on the Name header or column.

I tried this on my end, and I've gotten the same results as what you described. So, my hunch is that the Name header in QuickBooks Online would only show the names if an entry is tied to a single profile.

This is true if you enter a sales receipt, then check the transaction detail from the Profit and Loss report.

If multiple customer names or profiles are involved in a single entry, the Name header won't display them. They would be split under the Customer or Vendor column instead.

However, single-profile entries would still show the names under the Customer or Vendor column.

We can memorize the customization settings on any transaction detail report if you want to save it for future use. The complete steps and details are found here: Memorize reports in QuickBooks Online.

If you need help closing out the current period after checking your financials, I'll share this article with you: Reconcile an account in QuickBooks Online.

If you'd like me to clarify other fields on reports, or if you need help with your entries, please let me know. I'll address your concerns accordingly.

Thank you for taking the time to read and respond. Your anticipated reply was what you are likely required to do with reference materials. Unfortunately, the suggestions really don't help in this case.

Saving the changes to a "memorized" report is not useful. When you go back to the P&L report and "double-click" on another revenue line item, the transaction detail reverts back to the system's original default report that does not have the changes needed to show customer and vendor fields.

Again, this is a coding issue that the engineers will need to correct. For example, they can add code that says "if the Name field is blank, pull in field from Vendor and/or Customer". That should solve it.

I am experiencing this issue as well.  Not just split transactions, some of our single profile entries are also randomly missing name/customer fields.  It's a lot of transactions to update manually.  And our reports by customer name are not correct because they are missing entries in the online version.

Transaction detail report is missing NAMES for deposits with multiple line items.

Hi there, @PT20.  I've got steps you can follow to sort this out.

But before we get started, would you mind if I ask what are these specific reports you've run? This is for me to evaluate and try it here on my end if we'll have the same result. Also, I can provide you with an appropriate solution. Any additional information will be much appreciated.

While waiting for your reply, let's perform these steps to verify if this has something to do with your browser.

Usually, unexpected behavior within the system is caused by browser-related issues. Regular browser stores cache files that make frequently accessed sites such as QuickBooks don't function well.

To check, let's log in to your account using a private browser and run a report from there. It ignores websites from using cookies and doesn’t record any history and data.

Here’s how to do the private browsing:

  • Safari: Control + Option + P
  • Google Chrome: Press Ctrl + Shift + N
  • Firefox or Internet Explorer: Ctrl + Shift + P

If this works, you can clear your browser's cache to refresh it. Click this link for the guide: Clear cache and cookies to fix issues when using QuickBooks Online.

If the issue persists, I'd recommend switching to another supported browsing application.

Lastly, feel free to browse through this article that you might need in case you want to use your reports outside of QuickBooks: Export your reports to Excel from QuickBooks Online

I'll be putting an out eye for your reply and as always, you can ask for assistance from us with regard to running reports in QBO. Just leave a comment by clicking the Reply button below. I'm always here to help.

Transaction detail report is missing NAMES for deposits with multiple line items.

Hi QuennieC,

I tried all the options you have suggested above, but the problem persists.

Customer/Name/Vendor/Employee are blank in the online version.

I pulled one transaction from QB Desktop Pro 2020 and have included screenshots of how it looks in QB Online.

I have hundreds of transactions without Customer/Name/Vendor/Employee name.  Any help is greatly appreciated.

There are certain things that you should know when migrating from QuickBooks Desktop to QuickBooks Online. I'll show you how these data are being converted, PT20.

The success of your migration depends on how complex your company file is. You can transfer much of the information from your company file without having to re-enter it manually. In general, the customer/vendor/employee names will definitely show once it is moved to QuickBooks Online (QBO).

On the other hand, information that will convert, with changes may be handled differently in QuickBooks Online than it was in QuickBooks Desktop and may need some adjustment after migration.

However, data that won’t convert won’t be automatically transferred with your company file and will need to be manually re-added after migration.

Since you've already performed the troubleshooting steps provided by @QueenieC and yet the information isn't still showing, you can reach out to our support team so they can double-check why is this happening. They can do a remote session to find out the root cause of the issue. Here's how to contact them:

  1. Sign in to your QuickBooks Online company.
  2. Select Help (?).
  3. Select either tab to get started:
    • Assistant: Get quick, personalized answers. Select a suggested option, or type a question or topic you need help with. If you decide you need further help, you can still Talk to a human.
    • Search: Search the QuickBooks Online knowledge base directly, or select Contact Us and choose a way to connect with us:
      • Start a chat with a support expert.
      • Get a callback from the next available expert.
      • Ask the community to get help from businesses like yours.

Beyond that, I'm providing this article in case you may want to know what data can be converted to QBO: Learn How Features And Data Move From QuickBooksDesktop To QuickBooks Online (QBO).

In addition, Once you'll start using QBO, learn your way around. Watch this video to know more details about the product. I've added this link for your reference: Get Started In QuickBooks Online.

wCalled the suppot team...

They said they don't have a resolution at this time. It is a bug with their migration tool. Only two options:

1. Manually update all transactions with the missing data in QB online.

2. Or use reports from QB Desktop for old data.

Not exactly what I was hoping to hear.

I am experiencing this problem, as well. We recently transitioned to QBO from QBDT and my data reports are missing data. The reporting tool n QBO is not as intuitive as QBDT - to my dismay, as it appears super-intuitive, but the coding/logic behind the window is somewhat of a muddled mess.

As we use transaction detail reports for our cost analysis on jobs, I am very concerned that the lack of integrity in the reports will be problematic for our analytical purposes.  Unreliable data does not make for good accounting.

I have the same exact issue and they told me the same thing.  It is a limitation with the migration.  Having the vendor name on a transaction seems basic 101 need.  I told QB this needs to be fixed before i migrate any other companies over.

I just discovered this too, and it's immensely frustrating. My needs are simple but running an updated list of donors regularly is VITAL. Not having names attached to deposits in this way is inexcusable and makes this rerport utterly useless.

This isn't an issue with migration. It's happening with new transactions, unless I'm not understanding what you're talking about. I'm trying to run a basic transaction detail report from the standard set of reports or even from the COA and it is not coming up with names attached to the detail no matter how I drill down. This is incredible to me that such a basic function is broken.

Transaction detail report is missing NAMES for deposits with multiple line items.

Hi there, @theatretreasurer. Thanks for adding further clarification and attaching a screenshot.

I understand the frustration that can arise when encountering difficulties while attempting to run specific reports within QuickBooks. Allow me to offer some steps to help address this concern.

Upon reviewing the situation from my end, I was able to successfully see the linked name for the deposit. It's possible that certain deposits may not be linked to a customer, vendor, or employee within the Bank Deposit window. This could be the reason why the names aren't showing in the report.

To check, open again the Transaction Detail by Account report and click the transaction to open its window. After that review the Deposit window and make sure that a name is selected under the Received From column.

deposit.PNG

If a name was indeed present and you continue to encounter the same issue, I recommend performing some browser troubleshooting steps. Begin by accessing your account in a private browsing window. This will help determine whether the problem is related to a cache-related issue. You can activate this mode using the following shortcuts:

  • Safari: Control + Option + P
  • Google Chrome: Press Ctrl + Shift + N
  • Firefox or Internet Explorer: Ctrl + Shift + P

If this resolves the problem, you can clear your browser's cache to refresh it. If the issue persists, I'd recommend switching to another supported browsing application.

Furthermore, QuickBooks offers the capability to customize reports, enabling you to access the specific details most pertinent to your business.

For any additional concerns related to QuickBooks, please don't hesitate to share them here in the Community. We're always ready and willing to assist with your queries. Wishing you a wonderful day ahead!

Transaction detail report is missing NAMES for deposits with multiple line items.

Hi Reymond,

Thank you for responding and offering solutions. Any effort to highlight this issue is greatly appreciated.

In one of your solutions where you added the screenshot, I have verified several times that the customer name is listed on the deposit ticket. However, if there are multiple lines on the deposit, the names do not carry forward to the transaction detail report. This is where our frustration comes in.

In another solution you proposed in memorizing the transaction detail report, that memorized report only works if you continue to select that specific report each time and modify the dates/accounts. It's honestly not practical to do that, though. Because when you re-run your balance sheet or P&L and double-click to drill down into the transaction detail again, the defaulted QB transaction report is what again pulls up, not the memorized report we customized. Additionally, launching the report to a private browser or clearing your cache does not work.

Again, this issue will need to be addressed by the engineering/coding specialists to pull the "customer" and "vendor" fields into the default report. I've created several feedback/suggestions to them already, but they will only fix if enough complain about this. Right now, it's just not a priority. If you're able to escalate this issue for us, we'd appreciate it!

@QueenC  While your reply is appreciated, your suggestions are not "solutions" as the problem is not solved by following these steps. Exporting the report to Excel does not help because the missing information is still missing--like the CRITICAL detail of the NAME on each transaction.

This has been reported now for several months and is a basic function of a transaction-level report. It's amazing to me that it has not been fixed.

This is an issue with the migration not brining over the name.  Nothing to do with browser or the report itself.  The actual transaction is missing the depositor's name.  Any DEPOSIT transaction (from a bank or credit card, etc) is missing the NAME field - the person who paid.  The exception is when it is tied to an invoice created using QB, then the name appears.  This was reported in multiple posts, since April.  Has it been resolved?  I am not migrating any more clients until it has been resolved.

I am having the same issue.  We are a small business paid through commissions.  When we receive commission checks, I sometimes do one deposit for several checks  The business names are on the deposit slips, but they do not show on any reports.  The individual checks and amounts show, but not the names.  I would like to do a year-end report showing total commission paid by each company, but I cannot do that since the names are missing on some of deposits.

It would be greatly appreciated if QB would fix this.  If anyone has other suggestions, I would love to hear them.

Thank you for joining the thread and bringing this to our attention, @Ignite1.

I'll lay down a few additional steps to help you see those bank deposit names on reports.

Beforehand, have you already tried doing the troubleshooting steps given above, such as using a private window or clearing its cache? Also, the information you see depends on the report's Filters from the Customize page. Thus, you'll want to ensure that you selected the appropriate boxes like NameVendor, or Customer.

I've added this screenshot below for your visual reference:

If the names are still missing, I suggest contacting our Customer Care Team so you can have a screen-sharing session with them and investigate to find the possible root cause and resolution to this issue.

Here's how you can reach out to them:

  1. Go to Help (?).
  2. From the Search tab, click Contact Us.
  3. Please enter your question and select Continue.
  4. Review and Select from the following: Have us call you or Chat with us.

On top of that, this resource helps you modify your reports and save its current customization settings for future use: Memorize Reports in QuickBooks Online.

I'm just a post away if you have any other questions about bank deposits and reports. It's always my pleasure to help. Keep safe always.

I have already contacted someone on your support team.  We were on the phone for over an hour and a half, with her viewing my screen.  She tried reaching out to other people on her end, yet no one could provide an answer.  It is very frustrating when customer service cannot even help.  I did try working through a report, but it still will not let me add those missing names, unless you have another way doing that.

Please have them get this fixed.  I would think it should be an easy fix on your end.

Same here.  It isn't just a migration issue.  This is a bug that should have been worked out before deploying QB Online.  That it hasn't been fixed yet reflects poorly on Intuit and this should have been a priority long ago. Routine reconciliations that used to take virtually no time at all are now taking forever because of the difficulty identifying names associated with transactions.  Please just give us back the desktop version!
