Trial Balance download - cross year with specific date

When I tried to download the Trial Balance for the period April 1st 2020 to March 31st 2021 it is not showing the proper value. It shows only the values till April 1st 2020 to Dec 31st 2020 as my books are closed for the year 2020. I dont know how to get the cross year trial balance to produce it to an Indian company.

I know the reason why the data on your Trial Balance report is incorrect. Let me help you.

 

You'll encounter issues when running the said report if you selected two different Fiscal Years (FY). The Trial Balance report shows only the data from the current FY. We need to make sure that we set the reporting period that falls in the same FY.

 

If you're unsure, you can check or edit the first month of your FY by following these steps:

  1. Go to the Gear icon and select Account and settings.
  2. Select the Advanced menu.
  3. From the Accounting section, update the First month of fiscal year. Then, tap Save and Done.

Hi Thanks for the update, but I want to have the Fiscal year intact and want to download the TB for the said period. If I cannot change the Fiscal Year which will create problem in my US accounting.

I appreciate you for getting back to us here in the Community. I can help you download the information you need in QuickBooks Online.

 

The Trial Balance report can only show data from the current fiscal year. Currently, the option to download the report for that specific period is unavailable.

 

As a workaround, I recommend running the General Ledger report. You can customize the columns, as well as the Report period.

 

  1. On the left navigation bar, click Reports.
  2. Scroll down and select General Ledger under For my accountant.
  3. Click the small gear icon within the report.
  4. Add the columns you want to show in the report. 
  5. Choose the date range.
  6. Hit Run report.
  7. View the details.

Thanks AlcaeusF for the update!! This realy help in finding the report atleast.

 

However I have tried this report and got the details which I needed. But my querry is why is it not possible to get a cross Fiscal Year TB out directly with one click. I thought QB is having this facility. If there is any way that I can get the Trial Balance with just selection of date range (which is cross Fiscal Year), it would be a great help for me. Because I have to do further edit the report to provide it to outsider when I get the GL report as mentioned by you.

I'll share some information about the "Fiscal Year" option on report dates. The fiscal year date has repercussions in your Trial Balance report, it requires your financial statements and the assistance of your accountant.

 

Thus, this option is unavailable from the Report period in the Trial Balance report. You'll want to use the Custom option instead.

My client's FY is from 01/05/2022 to 30/04/2023. This may be what is called a cross fiscal year period. I need to download TB for this period. What are the steps to follow?

Creating a trial balance report in QuickBooks Online is a fairly straightforward process. We'll need to set the date to a custom range so you can enter the date manually and then export the report.

 

1. Go to Reports in your QuickBooks 

2. Select Trial Balance from the list.

3. Set the date to Custom range.

4. If you want to adjust your trial balance report in any way, click Customize Report. 

5. Click Run Report.

 

After that, you can export the file to Excel or PDF.

I needed report from mid-July 2023 to mid-July 2024. I set the start in July, however the report shows expenditure from 01 July 2024 to mid-July 2024 only. Please help.

To achieve your desired result when running the Trial balance report, you'll want to set the report to display columns by months and ensure you enter a specific period. This way, you'll get data from the middle of July 2023 to the middle of July 2024. We'll outline the steps to get you going:

  1. Access your QuickBooks Online company.
  2. On the left navigational bar, click the Reports tab.
  3. In the Search bar, enter Trial balance and then click the report.
  4. Enter a specific period.
  5. Below the Display columns by field, click the Dropdown arrow and select Months.
