Updated invoice account but P&L not updating

Hello - I have an invoice from January 2020 that I updated the income account on.  I updated each line on the invoice from Sales to Service but when I run an P&L the income still shows up in Sales.  Does anyone know how to fix this?

Updated invoice account but P&L not updating

Hi there, ndl2485.

I'm glad to see posting your concern in QuickBooks Community. I'll share steps to ensure that the entry in the report shows updated.

Once past transactions or the items you've changed into another category aren't showing the changes in the report, you'll need to change the income account. Then, switch it back to the correct one.

Here's how:

  1. Go to Gear ⚙ at the upper right corner. Then, select Products and Services.
  2. Under the Action column of the appropriate item, select Edit.
  3. From the Income account drop-down, choose a different account.
  4. Hit Save and close.
  5. Under the Action column of the same item, select Edit.
  6. From the Income Account drop-down, choose the correct account or service.
  7. Select the Also update this account in historical transactions checkbox.
  8. Click Save and close.

For additional information, you can click this article: Change the account for a product/service item.

Then, you'll have to make sure that you updated the correct items so the changes will appear in the Profit and Loss.

If the issue persists, I recommend logging in to your QuickBooks account using a private browser. This is to rule out the possibility of a webpage issue, and private browsing doesn't store local files or cache.

Use these keyboard shortcuts based on the browser you're using.

  • For Firefox or Microsoft Edge, press Ctrl + Shift + P.
  • For Chrome, press Ctrl + Shift + N.
  • For Safari, hold down Command + Shift + N.

If it works in incognito, I recommend clearing the cache of your regular browser. This removes the history or log of sites so you can start with a clean slate. You can check this article to see the steps: Clear cache and cookies to fix issues when using QuickBooks Online.

If the steps above didn't work, use another supported browser as alternatives.

Please refer to this article to see steps on how you can change the item type and categorize the products and services for better tracking: Change product and service item types in QuickBooks Online.

Updated invoice account but P&L not updating

Hi there, ndl2485.

I appreciate you for coming back to add further clarification in updating entries in QuickBooks Online.

The system will ask you to enter a password when updating transactions if the books are already closed. I suggest using the closing date password, not the one you used when logging into your QuickBooks account.

If you don't know the closing date password, I recommend resetting it so you can enter a new one. Make sure you're the master or company admin in your QBO account.

Here's how:

1. Log in your to QBO account as master admin or company admin.

2. Click the Gear icon at the left panel and choose Accounts and Settings.

3. Go to the Advanced tab.

4. Choose the pencil icon in the Accounting section.

5. Put a checkmark in the Close the books box.

6. Change the closing date.

7. Choose Allow changes after viewing a warning and entering password from the drop-down arrow.

7. Enter a new password and confirm it to change your password.

8. Hit the Save and close button.

Once done, you can start again updating or make any changes with your QuickBooks Online entries and enter the new password.

For additional information in resetting the closing date password, you can refer to this article: Edit your closed books. This also contains steps on how to check if there are changes made after you close your books.

Please know that you're always welcome to post if you have any other concerns. Wishing you and your business continued success.
